Job Summary
Administrative Assistants, II Full-time temporary position for two years, with potential for extension Perform a variety of administrative support duties for an individual, group, or department to ensure office operations run smoothly and efficiently. Create and maintain files, compile reports, and manage, store, and disseminate information, ensuring security and compliance of information. Assist in planning department activities, manage meeting calendars, and make travel arrangements. Track expenses, monitor and order supplies, and schedule maintenance repairs. Remain knowledgeable of group / department policies. May make contacts of a sensitive, complex, and confidential nature. May work for one or several department professionals, division heads, officers, or managers. Job Code: S22732 Grade: S14 Department will hire only at level II.
Responsibilities
Proactively manage calendar and correspondence support for the Executive Director. Support meeting operations with materials, agenda, room set-up and documentation (in person and zoom). Maintain confidentiality of sensitive discussions, emails, and other communications. Share meeting agendas and minutes with participants. Provide a physical presence in the administration office to be a point of knowledge for building management services, vendors, caterers, and other visitors. Create drafts and submit final messaging for social media content, blog articles, newsletters, and physical displays. Track all library ticket submissions for centralized campus services, send follow-up emails when needed, and ensure completion. Responsible for ordering, receiving, and setting up catering for internal and external library events. Participate in statistics collection and qualitative analysis. Assist with human resources activities as needed (payroll, ePafs, job postings, etc.) Miscellaneous office support
Minimum Qualifications
EQUIVALENCY STATEMENT : 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor’s degree = 4 years of directly related work experience). Department may hire employee at one of the following job levels: Administrative Assistants, II: Requires at least 1 year of related experience.
