Job Summary
Red Butte Garden & Arboretum is one of the largest botanical gardens in the Intermountain West and, together with the University of Utah, serves as the State Arboretum of Utah. Located on 100 acres in the foothills above the University of Utah campus, Red Butte Garden includes over 21 acres of developed gardens and five miles of natural area trails. The Garden is nationally recognized for its diverse plant collections, seasonal floral displays, outdoor concert series, private event spaces, and award winning horticultural education programs. Red Butte Garden is seeking an Administrative Assistant and Registrar for the Programs Department. This position will provide complex administrative support for department director, managers, and staff. Responsibilities include administrative support for the Education and Community Programs department (Adult, Youth and Family, Interpretation and School Programs) such as: Reservations, registrations, and scheduling Data collection and organization Communications and community building, event planning, and assistance Welcoming and orienting program participants and volunteers Sourcing and purchasing, university financial processes including payment processing, deposit preparation, and account allocation. Materials assembly, inventory, checkout, scheduling, and management Website updates, university vehicle coordination, and assisting in travel arrangements among other tasks as assigned. Responsibilities
Provide administrative support to multiple programs including: Purchasing and university financial processes Communication with vendor Accurate data collection, processing, and organization across multiple programs Travel arrangements and scheduling Implement website updates Transport mail and packages within Red Butte Garden and the University campus (up to 50lbs) Act as department lead of Safety Administrative Management, and other administrative duties Programs customer service, including answering questions, registering guests for classes, collecting payment, rescheduling, refunds, welcoming and orienting programs students and volunteers Oversee the calendar and scheduling for multiple programs including reservations, registration, and scheduling of multiple programs; accurate and complete calendar entry of multiple programs, collaborative communication with other departments on scheduling issue and event details; collaborative communication with guests, community partners, and others on scheduling and program logistics Materials organization, inventory, checkout, and maintenance management Communicate and assist a variety of community members across multiple programs Community building and maintenance of established relationships Represent and communicate about RBG programs at community events Assist the director in morale building programs and events. Minimum Qualifications
EQUIVALENCY STATEMENT : 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor’s degree = 4 years of directly related work experience). Department may hire employee at one of the following job levels: Administrative Assistants, II: Requires at least 1 year of related experience. Administrative Assistants, III : Requires 3+ years of related experience.
