Our HomeBase Homelessness Prevention Programs provide services to those who are at risk of entering a shelter due to rental arrears, overcrowding or substandard housing, and to those who have a prior shelter history as part of aftercare services. Services may include case management, tenant/landlord mediation, advocacy/benefit entitlements, short-term financial assistance, referrals, and varied workshops that can help individuals who are at risk of homelessness.
STATEMENT OF THE JOB:
The Administrative Assistant is responsible for maintaining the program in the area of administrative support, bookkeeping, preparing program and participant check requests, and oversight of petty cash. The position requires bookkeeping duties as well as clerical functions.
Bookkeeping duties.
Prepare check requests and pay program bills.
Prepare and keep track of household financial assistance expenditures.
Set up, organize and maintain confidential files and agency documents.
Type reports & correspondence.
Set up & dismantle meeting space.
Monitor, order & purchase supplies.
Operate & maintain in working order the switchboard, photocopier, fax machine, computers & printers.
Accurately take messages, route calls and greet visitors. Mail distribution.
Create forms, file & copy as necessary.
Act as a messenger.
Assist with program activities/special projects
QUALIFICATIONS:
High School Diploma or GED.
Two years secretarial experience, which includes one year experience in office administration, data entry and basic accounting required.
Computer & organizational skills, ability to work in a team, and an understanding of all clerical functions.
Bilingual (English/Spanish) Preferred.
Ability to travel to other sites within the five boroughs as needed.
Able to work evening hours.
Must be able to occasionally lift and/or move up to 25 pounds.

STATEMENT OF THE JOB The Secretary will provide the overall management of front desk including phones, staff schedules in reception book, distribution of telephone referrals, following up for missed Doctor Appointments, verifying Medicaid coverage, collection of client fees/maintenance of fee cards, & distribution/logging of Metro cards. Provides assistance to clients as they come in and performs lightweight clerical duties to the attending staff. DUTIES AND RESPONSIBILITIES ESSENTIAL FUNCTIONS: Responsible for front desk including phone, scheduling intakes, and distribution of telephone referrals. Enter all staff appointment schedules in reception desk book. Manages MD schedule and contacts all no shows, following up for missed Appointments. Monitor/maintain waiting room. General office duties including but not limited to typing, faxing copying, and filing. Perform clerical duties for staff Psychiatrists such as pulling charts, preparing encounter forms, & making appointment reminder calls to clients. Verifying Medicaid coverage, collection of client fees/maintenance of fee cards & distribution/logging of Metro cards. Maintain updated client roster. General office duties including but not limited to typing, faxing copying, and filing. OTHER DUTIES: Additional duties as needed including but not limited to functions related to implementation of computerized new billing and charting system. Available for other Support functions at the discretion of Clinical Manager and/or Staff Services Coordinator. Will perform other related duties as requested or assigned by agency management. Participates in staff and other program meetings. Special projects for Clinical Manager as needed. Provides office coverage to other CCNS programs as needed. Attends off-site meetings as requested. Excellent Computer skills; knowledgeable in Microsoft office. Excellent organizational skills. Ability to prioritize and multitask, offer feedback and constructive criticism. Bilingual/Spanish speaking preferred SPECIFICATIONS FOR PHYSICAL REQUIREMENTS Must be able to occasionally lift and/or move up to 25 pounds. Frequenting walking, sitting, talking or hearing. Occasional standing , stooping, & kneeling. Should be able to operate a computer keyboard, mouse, & office equipment. Ability to read printed materials and computer screens.
