Part-Time Office Manager
Position Overview
The Part-Time Office Manager is responsible for maintaining a welcoming, organized, and professionally run office environment for clients and staff at UCEBT. This role oversees front desk operations, supervises front desk employees, and ensures smooth coordination between clinicians, administrative staff, and clients. The Office Manager plays a key role in maintaining the daily flow of the center by supporting scheduling processes, supervising reception staff, maintaining office procedures, and ensuring the physical office space reflects UCEBT’s professional standards. This is an in-person, part-time position requiring regular on-site attendance.
Expected Weekly Hours
- Approximately 15–25 hours per week.
- Schedule may vary based on operational needs, meetings, and front desk coverage requirements.
- Regular in-person presence is to supervise front desk staff and support office operations.
Key Responsibilities
Front Desk Leadership & Supervision
- Supervise and support front desk staff to ensure excellent client service and consistent office operations.
- Coordinate front desk coverage, schedules, and timesheets.
- Train, onboard, and provide ongoing guidance to front desk employees.
- Assist with hiring and performance management for front desk roles.
- Provide backup reception coverage when needed.
Client Services & Front Desk Operations
- Maintain a welcoming, professional reception environment for clients.
- Assist with client inquiries, scheduling, and general front desk support.
- Ensure client communications, telehealth invitations, and billing documentation are handled accurately and in a timely manner.
- Coordinate with clinical and billing staff to resolve scheduling or documentation issues.
Scheduling & Administrative Coordination
- Support clinicians with schedule management and client appointment adjustments.
- Coordinate clinician on-call schedules and assist with coverage during leave.
- Assist with meeting coordination, scheduling updates, and internal communications.
Office Operations & Facility Management
- Maintain a clean, organized, and professional office environment.
- Monitor office supplies and coordinate vendor services and facility maintenance.
- Manage incoming mail and support general office operations.
Office Procedures & Administrative Support
- Support the Operations Team in maintaining and updating office procedures.
- Assist with internal administrative requests, scheduling documentation, and staff events.
- Provide general administrative support to clinicians and leadership when needed.
Compliance & Professional Standards
- Ensure office operations follow HIPAA, OSHA, and organizational policies.
- Support compliance with professional, ethical, and regulatory standards.

Qualifications
- Bachelor’s degree preferred.
- Experience in healthcare, mental health, or administrative office management.
- Supervisory experience strongly preferred.
- Familiarity with Valant, BambooHR, Microsoft Teams, and general office technologies.
Strong communication, leadership, multitasking, and organizational skills.
- Ability to perform occasional physical tasks such as restocking supplies.
