As the Temporary Secretary for OASIS, you will need to think creatively and be comfortable coordinating the administrative aspects of accommodations for undergraduate and graduate students with disabilities. You will be an active member of the Office of Accessible Services Individualized for Students (OASIS) team and will work closely with the Coordinator to communicate with units to further ESU's commitment and OASIS mission. You will thrive in this role if you like combining your customer service and communication skills while assisting students in connecting with appropriate resources both on and off campus. To be successful in this role, you must be detail-oriented, able to work independently and possess excellent problem-solving skills.
Your normal hours will be Monday to Friday 8:00 am to 4:30 pm, but you may have to flex your schedule from time to time based on the needs of the business to be a true Temporary Secretary for OASIS. This is a Temporary role which will conclude once a candidate has been hired for the full-time permanent role. When our team shows up for work, they are energized and motivated to succeed - all while being the most crucial piece to keeping the ESU operations humming.
What Will I Do At ESU? (AKA Essential Duties)
- Type letters, and memorandums, responsible for purchasing and receiving AT equipment, arranges for webinars, monitor the budget, and other job-related correspondence; maintain and update confidential files.
- Field inquiries from students and parents needing information about applying for OASIS services including
the application process for accommodations, eligibility for services, scheduling intake appointments, the guidelines for documentation, and other questions about OASIS services.
- Process student requests for accommodation services, create confidential student files, maintain files from initial contacts through completion of the application to the intake appointment, including accepting documentation necessary to determine the eligibility for services.
- Provide clerical support to the department as directed by the Director and Coordinator of OASIS; create word templates and maintain internal paperwork for students who apply for services requiring completion of applications and supporting documentation.
- Maintains contact with students requesting services (both intake and continuing services), in person, by phone, or via e-mails, daily.
- Perform general office duties such as answering the telephone, making appointments, handling mail, disseminating departmental program information, ordering, and maintaining office supplies, keeping calendars up to date, scheduling meetings, and making travel arrangements as needed.
- Demonstrate a commitment to issues of Social Equity and continue to develop professionally in multi-cultural competence.
What We're Looking For (AKA Qualifications)
- Six months as a clerical assistant 1 (commonwealth title), or high school graduate or equivalent
combination of experience and training.
- Able to provide great customer service skills to all students, faculty, and staff.
- Able to work independently with clear attention to detail.
- Friendly and professional communication skills.
- Efficient time management skills and understanding confidentiality.
- Outstanding communication skills, leading with a student-first attitude.
- Able to read, write, and comprehend English; able to follow verbal instructions.
- Experience with Word, Excel, Teams required.
