POSITION: Middle School Principals Secretray S-12, 12 Months
RESPONSIBLE TO: .Receives general supervision from the Principal or other school administrator; and works with considerable independence, establishing priorities within work assignment.
ESSENTIAL FUNCTIONS: Greets students, parents and visitors to school. Screens doorbells/incoming calls and refers them to appropriate office or person. Organizes work flow to relieve Principal of administrative details. Screens telephone calls and correspondence requiring personal attention of Principal and prepares replies, including confidential matters. Transmits Principal's directives to designated persons, and follows up for compliance, completeness and timeliness. Arranges meetings, schedules appointments for Principal, and acts as liaison with parents, students, central office staff and the general public. Maintains confidential teacher and staff records. Schedules all appointments for all building administrators for every staff member's formal observation, review of practice, mid-year and end of year conferences. Enters all write-ups into teacher's evaluation data base as necessary to maintain compliance for each staff member.
Assists Principal in preparation of school budget recommendations. Compiles and coordinates data from school staff and helps prioritize needs. Monitors approved school budget; maintains account balances and projects funding availability based on school activities; keeps Principal informed of status of operating budget on a weekly basis using district reporting.
Maintains inventory of assets, supplies and materials. Prepares and processes purchase orders, including books, supplies and materials required by staff for school year. Obtains quotes and invoices from vendors, as necessary to ensure proper pricing and timeliness of payments and deliveries.
Communicates with head custodian regarding building use, copy paper, supplies in storage, locker clean-outs, and security company (emergency drills) monitoring. Contacts Fire Department and security company.
Functions as a liaison with PTA including preparing and participating in calendar meeting with President(s) and Principal to plan school-wide events.
Plans and facilitates Eighth (8th) Grade Awards Ceremony and Closing Exercises including the printing of all awards, diplomas, programs, decorating, set-up and take-down of ceremonies. Coordinates with outside presenters, guests and officials. Create and publish seasonal music programs for all grades.
MINIMUM QUALIFICATIONS: The skills and knowledge required would generally be acquired with graduation from high school and three years of responsible secretarial or clerical administrative experience or an equivalent combination of education and experience. The Middle School Principal's Secretary position requires a person with superior people, strong secretarial and office administrative skills. The level of independence in performing work is very high, and the Secretary must be a self-starter with motivation to be part of a team operation. Bookkeeping and accounts clerical knowledge is necessary. Certification in First Aid/CPR preferred.
SALARY: Classification S-12- $28.83/hr (Step 1) to $31.19/hr (Step 3) DOE
