Position Overview
Citadel Security USA is seeking a dependable and detail-oriented Administrative Assistant to support daily operations at our Grand Junction office. This position provides administrative support to the Vice President of Operations, Director of Human Resources, and other leadership team members while helping maintain organized office operations and efficient administrative processes.

Primary Responsibilities
Administrative Support
- Provide day-to-day administrative assistance to executive leadership and department managers.
- Prepare, edit, and format business correspondence, reports, spreadsheets, presentations, and company documents.
- Manage multiple administrative assignments while maintaining accuracy and meeting deadlines.
- Draft routine correspondence and maintain organized documentation.
- Support special projects and departmental initiatives as assigned.
Office Operations
- Answer incoming telephone calls, direct inquiries, and relay messages professionally.
- Welcome employees, applicants, vendors, and visitors while providing excellent customer service.
- Perform general office duties including filing, scanning, copying, mailing, and document organization.
- Maintain electronic and physical filing systems for efficient record management.
- Receive, sort, and distribute incoming mail and deliveries.
- Monitor office supply inventory and coordinate replenishment as needed.
- Coordinate office equipment maintenance and service requests.
Human Resources & Onboarding Support
- Assist with new hire onboarding by preparing paperwork and coordinating onboarding schedules.
- Maintain onboarding documentation and employee records.
- Help coordinate employee training sessions and maintain training records.
- Prepare training materials and administrative documentation as requested.
- Support Human Resources with administrative projects and recordkeeping.
Communication & Coordination
- Collaborate with multiple departments to facilitate communication and workflow.
- Respond to requests for information and administrative documentation.
- Assist leadership with reports, scheduling, and project coordination.
- Maintain confidentiality when handling personnel, company, and operational information.
Records & Reporting
- Maintain accurate administrative records and business files.
- Organize operational documents for easy retrieval.
- Assist with routine reporting and data entry.
- Support improvements to administrative procedures and office processes.
Minimum Qualifications
- High school diploma or GED.
- Previous administrative, clerical, office support, or customer service experience preferred.
- Strong computer proficiency with Microsoft Word, Excel, Outlook, and other office applications.
- Excellent written and verbal communication skills.
- Exceptional organizational and time-management abilities.
- Ability to manage multiple priorities with minimal supervision.
- Strong attention to detail and accuracy.
- Professional demeanor and commitment to confidentiality.
- Ability to successfully pass a background check.
Preferred Qualifications
- Experience supporting executive leadership or management teams.
- Experience with onboarding, training coordination, or Human Resources administration.
- Familiarity with document management and electronic filing systems.
- Experience preparing reports, spreadsheets, and business correspondence.
- Ability to identify opportunities for administrative process improvements.
