DUTIES AND RESPONSIBILITIES:
- Provides administrative and clerical support to the Director of Food and Nutrition
Services, Cafeteria Managers, Office Staff, Accountant, Coordinators, and Supervisors. - Maintains department files, records, and confidential information in accordance with
division procedures. - Answers and directs telephone calls, greets visitors, responds to routine inquiries, and
routes requests to the appropriate staff member. - Schedules meetings, maintains calendars, and assists with meeting logistics and
preparation of meeting materials. - Receives, distributes, and tracks incoming mail, correspondence, and departmental
documents. - Enters and maintains accurate data in district and vendor software systems and
departmental databases, including processing department orders and updating records
as needed. - Assists with preparing routine reports, spreadsheets, statistical information, and other
departmental documents. - Performs basic financial and accounting support functions, including maintaining
records, organizing invoices, assisting with travel reimbursement documentation, and
supporting routine reconciliation activities under the direction of the Accountant. - Processes cafeteria work orders and communicates maintenance requests with the
Hampton City Schools Operations and Maintenance Department. - Orders and maintains office supplies and department materials.
- Assists with preparing materials for meetings, training sessions, and professional
development activities. - Distributes departmental communications and informational materials.
- Maintains professionalism and confidentiality when handling employee, student, and
department information. - Performs other related duties as assigned.
JOB REQUIREMENTS:
- Requires a high school diploma or GED.
- At least three years of work experience in an office environment involving public contact (for external candidates only).
- Experience working at a school is desirable.
- Thorough knowledge of standard office procedures, practices and equipment.
- Ability to operate and perform tasks on standard office equipment; computers, fax, telephone, printers, copiers, etc.
- Good communication and human relation skills.
- Requires excellent typing skills and proficiency in Microsoft Office software (Word/Excel), preferably in a Macintosh environment.
- Ability to establish and maintain effective working relationships with other employees and the general public.
- Physical dexterity to perform assigned duties.
