Position Overview
The Office Manager is responsible for the day-to-day operational performance of our 80-employee office. This role ensures a professional, efficient, and organized workplace while supporting tenant communications, travel coordination, expense reporting, and internal hospitality.
This position requires a proactive, detail-oriented professional who exercises sound judgment, demonstrates accountability, and upholds Big V’s commitment to long-term relationships and operational excellence.
Core Responsibilities
- Oversee daily office operations and serve as primary liaison with building management and service vendors.
- Manage mail, deliveries, office supplies, equipment, maintenance coordination, and workspace setup.
- Distribute legal notices and formal tenant communications in coordination with Property Management and Legal.
- Coordinate domestic and international travel arrangements for designated departments.
- Prepare and submit expense reports; reconcile corporate credit card statements in accordance with policy.
- Support cost management initiatives.
- Plan and coordinate internal meetings, office events, and catered meals.
- Maintain kitchen and common areas to ensure a clean, stocked, and welcoming environment.
- Support onboarding and offboarding logistics for employees.
Qualifications
- 5+ years of office management or operational leadership experience.
- Experience in commercial real estate or professional services preferred.
- Strong organizational, communication, and project management skills.
- Demonstrated financial acumen and experience with expense reporting systems.
- Ability to manage confidential information with discretion.
- Proficiency in Microsoft Office Suite.
