Title: Elementary School Administrative Assistant (12-Month, Full-Time)
Position Summary: Wayland Public Schools is seeking a highly organized, welcoming, and customer-service-oriented Elementary School Administrative Assistant to join our team. The Administrative Assistant serves as an integral member of the elementary school office, supporting the efficient day-to-day operations of the school while fostering a positive experience for students, families, staff, and community members. This position is ideal for an individual who thrives in a fast-paced, collaborative environment and is committed to providing exceptional service while maintaining confidentiality and professionalism.
Duties and Responsibilities (Not limited to):
- Serve as the first point of contact for students, families, staff, visitors, and community members, maintaining a welcoming and professional office environment.
- Manage incoming phone calls, emails, correspondence, and general inquiries, directing requests appropriately.
- Support the daily operations of the school office, including scheduling appointments, coordinating meetings, and maintaining calendars.
- Maintain accurate student records, including attendance, registrations, withdrawals, transfers, and other student information in accordance with confidentiality requirements.
- Assist with student dismissal procedures, transportation changes, and communication between families and school personnel.
- Prepare and distribute correspondence, reports, newsletters, forms, and other school communications.
- Maintain organized electronic and paper filing systems and generate reports using district information systems as needed.
- Process purchase orders, invoices, reimbursements, and other financial transactions in accordance with district procedures; assist with budget tracking and supply ordering.
- Coordinate visitor management and volunteer documentation processes and support substitute teacher coverage as needed.
- Assist with the planning and implementation of school events, family engagement activities, and special programs.
- Collaborate effectively with school and district staff to support school initiatives and ensure efficient office operations.
- Perform other duties as assigned by the Principal to support the successful operation of the school.
Qualifications:
- Education: High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
- Experience: Previous administrative assistant experience, preferably in a school setting, is highly preferred. Experience with student information systems and school management software is desirable.
- Technical Skills: Demonstrated proficiency with Microsoft Office Suite and Google Workspace.
- Cultural Competency: Experience with diverse populations and a strong commitment to Wayland's goals of diversity, equity, inclusion, and belonging.
- Professionalism: Excellent communication, interpersonal, organizational, and customer service skills. Ability to maintain confidentiality, exercise sound professional judgment, and effectively manage multiple priorities in a fast-paced environment.
Education and Experience:
- High school diploma or equivalent required.
- Associate's or Bachelor's degree preferred.
- Previous school office or administrative experience preferred.
- Knowledge of elementary school operations and procedures is desirable.
- Experience using student information systems and other educational software platforms is preferred.
Work Schedule and Compensation:
- Hours: 35 hours
- Schedule: Monday – Friday, 12-month position
- Salary: Commensurate with the WEA Unit B Salary Scale based on level of experience as a non-exempt hourly employee, example: $26.99 – $36.44
