The Executive Assistant is responsible for providing comprehensive administrative support to C-Suite Executives in the organization. This role involves managing calendars, coordinating meetings, assisting with project management, preparing meeting materials, and ensuring the smooth operation of the headquarters. The Executive Assistant will work closely with senior management, clients, and service providers, requiring a high level of professionalism, confidentiality, and attention to detail.
RESPONSIBILITIES:
- Administrative Support: Provide comprehensive administrative support to C-Suite Executives, including managing calendars, scheduling meetings, making travel arrangements, and handling correspondence.
- Meeting Coordination: Coordinate and schedule meetings, both internally and externally. Prepare meeting agendas, draft minutes, and assist in the preparation of presentation materials for leadership meetings.
- Project Management Assistance: Assist in managing executive-level projects by monitoring timelines, tracking deliverables, and coordinating with cross-functional teams. Provide support in research, data analysis, and preparing reports.
- Document Preparation: Assist in the preparation, editing, and formatting of various documents, including memos, reports, presentations, and correspondence. Ensure accuracy, consistency, and confidentiality in all communications.
- Confidentiality and Discretion: Handle sensitive and confidential information with the utmost discretion and maintain a high level of confidentiality in all interactions. Exercise judgment and professionalism in handling executive-level communications and materials.
- Relationship Management: Serve as the main point of contact for senior management, key clients, and service providers. Build and maintain professional relationships, handle inquiries and requests, and ensure timely and effective communication.
- Information Management: Organize and maintain electronic and physical files, ensuring easy access and retrieval of information. Manage documents and records in accordance with established protocols and procedures.
- Cross-functional Collaboration: Collaborate with other departments and teams to facilitate efficient and effective communication and workflow. Coordinate efforts with internal stakeholders to ensure seamless execution of administrative tasks.
- Professionalism and Timeliness: Uphold a high level of professionalism and deliver work assignments in a timely manner. Prioritize tasks, manage competing demands, and demonstrate a proactive and solution-oriented approach to administrative support.
- Bachelor’s Degree in Business Administration, Communications, or related field or equivalent work experience.
- Proven experience as an executive assistant, administrative assistant, or in a similar support role.
- Proficient in using productivity tools, such as MS Office Suite and collaboration platforms.
- Strong communication skills (both oral and written) and interpersonal skills.
- Strong organizational and time management skills needed to prioritize workload, handle multiple tasks, and meet deadlines.
- Detail oriented and thorough in completing projects/tasks.
- Must be able to partner, collaborate and work in a team environment.
