Job Summary
Administrative Assistants Perform a variety of administrative support duties for the Department of Dermatology. This position will help support the biologic medication program for the department, working to improve patient access to specialty medications. This position works with physicians and other health care providers, medical staff, prior-authorization reps, administrative assistants, pharmaceutical reps, pharmacies, and patients to facilitate approval and acquisition of biologic medications. This position may also provide support to some of the physicians in Dermatology. Will work primarily at the HELIX building on campus, with a potential option to work remotely one day per week after initial training is complete. Responsibilities
Essential Functions: Completes and submits program enrollment forms. Tracks biologic prescription orders, and coordinates with other staff to ensure completion of each step required for prescription acquisition. Provides formulary information to health care providers. Reviews and completes benefit verifications. Communicates with specialty pharmacies, and addresses barriers to dispensing of medications. Troubleshoots barriers to access treatment, and aid the patient in obtaining patient assistance, bridge programs, co-pay cards, etc. Notifies patients regarding updated status or delays. Renews enrollments as required by insurance companies for each new coverage year. Maintains and tracks biologic samples in clinics. Stays updated on biologic changes including new drugs, manufacturer changes, new indications, formulary changes, etc. Provides staff education and training on drug programs, enrollment processes & updates, and access solutions. Provides administrative support for physicians, and coordinates patient needs, communicating with clinical staff, the prior-auth group, and other teams as needed. Create and maintain files, compile reports, and manage, store, and disseminate information, ensuring security and compliance of information. Other duties as assigned. Minimum Qualifications
EQUIVALENCY STATEMENT : 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor’s degree = 4 years of directly related work experience). Department may hire employee at one of the following job levels: Administrative Assistants, II: Requires at least 1 year of related experience. Administrative Assistants, III : Requires 3+ years of related experience.
