Fondomonte is seeking a highly organized and detail-oriented Maintenance Administrative Assistant to support the daily operations of the Maintenance Department. This position plays a critical role in ensuring maintenance records, work orders, inventory documentation, purchasing requests, and department reporting are maintained accurately and efficiently.
The ideal candidate will possess strong administrative skills, excellent computer proficiency, and the ability to work effectively in a fast-paced maintenance environment supporting equipment, vehicles, and operational maintenance activities.
Essential Responsibilities
- Provide administrative support to the Maintenance Manager and maintenance team.
- Create, maintain, and organize maintenance records, files, and documentation.
- Enter and track work orders, repair requests, and maintenance activities within company systems.
- Assist with parts ordering, purchase requisitions, purchase orders, and invoice processing.
- Maintain maintenance inventory records and assist with inventory tracking.
- Coordinate vendor communications, service appointments, and contractor scheduling.
- Prepare maintenance reports, spreadsheets, and departmental metrics.
- Track preventive maintenance schedules and assist with compliance documentation.
- Maintain accurate filing systems for equipment records, inspections, and service histories.
- Assist with employee timekeeping, training records, and department administrative functions.
- Support audits and record retention requirements.
- Perform general office duties including data entry, filing, scanning, and correspondence.
- Perform other duties as assigned.
Qualifications
- High school diploma or GED required.
- Associate degree in Business Administration or related field preferred.
- Minimum 2 years of administrative experience, preferably in maintenance, transportation, industrial, agricultural, or construction environments.
- Strong proficiency in Microsoft Office Suite, particularly Excel, Outlook, and Word.
- Experience working with ERP, maintenance management, or inventory systems preferred.
- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Ability to manage multiple priorities and meet deadlines.
- Professional communication and customer service skills.
- Bilingual English/Spanish preferred.
Pay Rate - $18-$19.00/DOQ
