Title: Special Education Secretary
Position Summary: Wayland Public Schools is seeking a dedicated Special Education Secretary to join our team. This administrative role is crucial for ensuring the smooth operation and compliance of our Special Education department through effective organization and record-keeping.
Duties and Responsibilities (Not limited to):
- Process student Individual Education Plans (IEPs) and verify for completeness and accuracy according to mandated timelines and regulations.
- File paper documents and upload electronic documents as needed into student records (MCAS Reports, discipline, attendance, Child Study, summer progress reports, evaluation packets, meeting notices, signed IEPs, and parent correspondence).
- Maintain and update student records in PowerSchool. Maintain archived records as required.
- Process and notify BSEA of rejected or unsigned IEPs.
- Process Special Education student record requests from students, families, other school districts and the district law firm and referrals for out-of-district placements.
- Direct all incoming telephone calls, furnish information to parents, staff, regarding evaluation request, admission, record request, meeting schedules.
- Work effectively with families and respond to diverse cultures and backgrounds.
- Responsible for student documents being translated into specific languages for students and families.
- Other activities and tasks as determined by the Director of Student Services.
Qualifications:
- High school graduate or equivalent with demonstrated successful experience in the administrative capacity or comparable experience. Associates degree preferred.
- Possess a thorough knowledge of and familiarity with modern office technology, electronic equipment and software applications (Word, Excel, Adobe).
- Knowledge of IEPs, special education and IEP software (PowerSchool) highly desirable.
- Proven ability to handle deadline driven, complex working environment.
- Ability to plan and organize work in a fast-paced office using sound judgment.
- Ability to organize and accurately maintain multiple, extensive hard copy and electronic filing and data systems.
- Must be able to work autonomously, prioritize and reprioritize tasks and work effectively despite interruptions.
- Ability to establish and maintain effective working relationships with staff, students, parents and general public.
- Effective written and oral communication skills and a willingness to help others.
Citizenship, residency, or work visa required
Successful completion of Criminal Records Check (C.O.R.I.), Sexual Offender Record Check (S.O.R.I.), and fingerprint
