JOB DESCRIPTION: EXECUTIVE ASSISTANT
DEPARTMENT: Executive
CLASSIFICATION: Exempt
REPORTS TO: President/CEO
SUPERVISES: No supervisory responsibility
SUMMARY: Performs office management, administrative support, accounting and purchasing support for Executive area; Board Secretary.
MAJOR DUTIES & RESPONSIBILITIES:
- Manages the Administrative offices of the Bank, including the President/CEO, Senior Executive Vice President/CFO and Senior Executive Vice President/COO.
- Displays considerable judgment, initiative, decision-making, effective public relations, confidentiality and organizational abilities.
- Acts as Secretary to the Board of Directors, prepares Board Meeting materials, maintains files, records minutes and provides communication to all Board members.
- Maintains Outlook calendars and coordinates participation for President/CEO, SEVP/COO and SEVP/CFO.
- Provides telephone support, screens visitors, and schedules meetings and appointments.
- Processes mail in accordance with established procedures.
- Assists with event planning, both Bank-and community-wide.
- Prepares general correspondences, memos, charts, tables, graphs, business plans, meeting minutes, etc.
- Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
- Coordinates and completes special projects as requested. Obtains information to complete reports on sensitive or special management communications.
- Coordinates travel arrangements, conference registrations, etc., and prepares expense reports.
- Completes mandatory compliance training on schedule.
EDUCATION & EXPERIENCE:
- Associate Degree in Administrative Professional, or equivalent experience.
- Minimum of 5 years progressively responsible Office Management or Executive Assistant experience.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Extensive knowledge of modern office practices and procedures, and experience in the effective use of microcomputers, software packages such as Microsoft Office, fax machines and scanning equipment.
- Excellent attention to detail, and ability to work with highly confidential information, assemble and organize data and prepare reports.
- Ability to work independently, utilize effective time-management practices and make decisions with minimum direction.
- Excellent organizational skills with an ability to think proactively and prioritize work.
- Exceptional written and oral communication skills and the ability to deal tactfully and courteously with peers and the public.
