Position Purpose
The job of Administrative Assistant to Curriculum and Instruction was established for the purpose/s of providing a variety of confidential administrative and secretarial support to the Assistant Superintendent for Curriculum and Instruction and the department; establishing and maintaining department records; coordinating assigned projects; and compiling and distributing a wide variety of material and reports.
Reports to: Assistant Superintendent for Curriculum and Instruction
Essential Functions:
- Coordinates assigned projects and/or program components such as the distribution of materials, arrangements for conferences, meetings, travel requirements and completing these activities in a timely fashion.
- Maintains a variety of manual and electronic documents files and records (e.g. grant applications and amendments, time sheets, expense reimbursement requests, etc.) for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements.
- Maintains and tracks grant expenditures (e.g. purchase orders, salaries, requisitions, time sheets, etc.) for the purpose of ensuring effective functioning of district programs.
- Maintains inventory of supplies and materials (e.g. text books, testing materials, educational resources, office supplies, etc.) for the purpose of ensuring items' availability.
- Organizes all records for state and federal programs for the purpose of providing information to district administrators and state auditors.
- Prepares a variety of correspondence, reports and other materials (e.g. letters, memorandums, etc.) for the purpose of documenting activities, providing written reference, and/or conveying information.
- Reconciles account balances for assigned budget categories for the purpose of maintaining accurate account balances.
- Responds to inquiries from a variety of internal and external parties (e.g. district staff, other schools, government agencies, general public, etc.) for the purpose of providing information, facilitating communication among parties and/or providing directions.
- Working under limited supervision following standardized practices and/or methods; providing information and/or advising others.
Knowledge, Skills and Abilities:
- Perform multiple, non-technical tasks with a potential need to upgrade skills in order to meet changing job conditions.
- Specific skill-based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment; using pertinent software applications; and preparing and maintaining accurate records.
- Perform basic math, including calculations using fractions, percent, and/or ratios; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and understand complex, multi-step written and oral instructions.
- Schedule activities, meetings, and/or events; gather and/or collate data; and use basic, job-related equipment.
- Flexibility is required to work with others; work with data utilizing defined and similar processes; and operate equipment using standardized methods.
- Problem solving is required to identify issues and create action plans.
- Perform other duties as assigned.
Work Environment:
- Works in standard office and school building environments
- Ability to lift and carry up to 20 pounds
Qualification Profile:
- High School degree or higher.
- Associates degree with course work in business, word processing, office procedures and record keeping preferred.
- Successful experience in public service and executive level administrative or secretarial roles.
