NOW HIRING: ADMINISTRATIVE ASSISTANT I
The San Bernardino Superior Court is seeking a highly skilled and motivated Administrative Assistant I to join our team. This position plays a vital role in supporting court leadership and ensuring the smooth operation of administrative functions across the organization. The Administrative Assistant I performs a wide range of complex, responsible, and sensitive administrative and secretarial duties in support of court and administrative managers. This role requires strong judgment, professionalism, and the ability to work effectively in a fast-paced and confidential environment.
Key Responsibilities
Administrative Support — Provide comprehensive administrative and secretarial assistance to assigned managers, including preparing correspondence, reports, and specialized documents.
Document Production — Independently create, edit, and finalize a variety of materials requiring thorough knowledge of court services, policies, and procedures.
Office Coordination — Manage calendars, schedule meetings, coordinate communications, and maintain organized office systems.
Confidential Task Management — Handle sensitive information with discretion and maintain strict confidentiality.
Policy Application — Apply established court policies and procedures to daily tasks while exercising independence and sound judgment.

Distinguishing Characteristics
The Administrative Assistant I performs full journey-level functions and provides highly responsible complex and diverse administrative support and secretarial services to assigned managers, often in a sensitive and rapidly changing environment. Incumbents independently produce a wide range of documents and reports requiring thorough knowledge of Court services, regulations, policies and procedures. Duties and responsibilities are carried out with considerable independence within a framework of established policies and procedures.
The employee in this class typically reports to a District or Administrative Manager.
Administrative Assistant I is distinguished from Administrative Assistant II in that the latter position provides administrative and secretarial support services to judicial officers.

Essential Functions
- Performs a variety of complex, responsible and specialized administrative and secretarial support functions for Court managers; types and edits documents ranging from general correspondence to specialized, technical reports and spreadsheets; screens and directs mail and calls.
- Responds to difficult and sensitive public contacts, serves as a liaison for the Court manager in situations requiring tact and judgment; answers or refers questions based on knowledge of the Court's policies and procedures.
- Keeps supervisor's calendar; arranges, schedules and confirms meeting arrangements; types meeting agendas and prepares meeting materials; attends and may facilitate routine meetings; takes meeting notes; types and distributes minutes.
- Maintains personnel reports; tracks vacancies, long-term absences and employees with restricted duties; verifies employee classifications, position numbers, exit dates and other required data; obtains and distributes approvals following established procedures; schedules interviews to fill vacancies and prepares relevant confidential Human Resources materials.
- Schedules conferences and makes travel arrangements through the Travel Coordinator.
- Schedules and coordinates various events and ceremonies; purchases necessary supplies; ensures invitations, decorations, set/cleanup and photos are handled.
- Prepares and assists with various projects including researching, compiling, arranging and computing data; composes reports and ensures proper and timely completion; reviews department forms and procedures and recommends changes to improve efficiencies.
- Drafts correspondence and emails based on established procedures or from general instructions; composes reports and budget justifications; prepares requisitions with budget justifications.
- Monitors custodial, facility and copier problems; contacts service providers and keep logs of issues; follows up to ensure resolution.
- Keeps and maintains files, logs and records including budget, personnel and payroll records; maintains forms and supplies, ordering and stocking as needed.
- May order, receive, track, invoice and distribute law books.
- May be assigned to the Safety Committee; attends meetings and ensures designated employees have appropriate supplies; performs safety inspections and reports any areas in need of repair/updates; schedules practice emergency drills following established procedures.
- May take and transcribe dictation using shorthand or recorded dictation; proofs and corrects materials for grammar, punctuation, spelling, accuracy, format and conformance to administrative policy.
- Attends meetings; represents the district/department with other divisions, departments and vendors.
- Provides backup to Administrative Assistant IIs and other support staff as required.
- Performs other duties as assigned.
Minimum Qualifications
Graduation from high school or GED equivalent, and at least two (2) years of administrative support or secretarial experience in an administrative, court or legal environment; or an equivalent combination of education, training and experience. Completion of college-level course work is highly desirable. Experience in a public court is preferred
Licenses; Certificates; Special Requirements:
A valid California Class C driver's license and the ability to maintain insurability under the Court's vehicle insurance program.
