Regis Jesuit High School is seeking an Administrative Assistant for Mission, Ministry and Diversity (MMD) to begin in August 2026. The posting will remain open until filled. Interviews will begin in early June.
The Administrative Assistant for MMD manages all MMD logistics and the MMD suite space. The position reports directly to Assistant Principal for MMD and secondarily to the mission directors (Diversity/Kinship, Pastoral Ministries, and Ignatian Immersion/Solidarity) who comprise the RJHS mission team. This is a non-exempt, hourly position that works 40 hours per week during the school year only. The starting hourly rate is $25/hour. A full benefits package is available. Essential Job Functions:
- Manages, assists and supports the Assistant Principal of MMD and mission directors on logistics for all mission programming on campus.
- Manages the meeting calendar of the AP of MMD and mission team as needed.
- Maintains the MMD office space.
- Helps liaison between the AP of MMD, and all the Mission Directors with Facilities and other operational departments.
- Coordinates with other 3rd party vendors regarding food, travel logistics, and other supplies.
- Completes all billing and deposits to partners in all mission programming per budgeting and oversight by the Assistant Principal of MMD. (i.e. retreat houses, immersion hosts, food/catering, guest speakers, program fees, and other aspects that pertain).
- Oversees the purchase of essential items for all mission programming (i.e. gifts, event supplies, etc.)
- Assists and supports major MMD events such as Diversity Day, VIA Freshmen Retreat, Service immersion projects, Sophomore Service Days, Staff Retreats/Liturgies, etc.
- Assists in the logistics for Adult Formation events taking place with community constituents. Second Ignatian pilgrimages and staff retreats.
Specific to Ignatian Immersion and Solidarity:
- Books all lodging, transportation, and activities for immersion trips.
- Makes deposits and final payments at or before the payment deadlines.
- Communicates confirmations to IIS team at least two weeks in advance of each IIS event
- Collaborates with the IIS Office to aggregate and prepare MobileServe data to be utilized in regular grade reports by the immersion office.
- Collaborates with all mission departments to aggregate and prepare data on assessment of mission programming at Regis Jesuit.
- Organizes and collects all permission slips, release forms, passport copies and traveler information to share with chaperones and community partners when necessary.
- Maintains supply chain for IIS immersions
- Collects all timesheets and evaluations from community partners, post junior immersions, and follows up with those partners who haven't sent us timesheets or evals by the due date to ensure we have thorough updated records.
Specific to Pastoral Ministries:
- Assists the Pastoral Director with the daily prayers
- Assists the Retreat Coordinator in tracking student and staffing retreat placements and registration.
- Assists the Retreat Coordinator in collecting and processing paperwork that Regis Jesuit and retreat centers require.
- Assists the Director of Pastoral Ministry and the Retreat Coordinator in the organizing of major retreat programs on campus during the Freshman Retreat.
- Oversees supply inventories and makes orders as needed.
Requirements (Education, Experience, Required/Preferred Skills)
- Experience in program management
- Understanding of project management
- Experience with basic accounting/budgeting
- Competency in Microsoft Office products
- Ability to multitask in a fast-pace environment
- Ability to abide by strict confidentiality rules
- Spanish fluency helpful
- Experience in Catholic Mission Programming helpful
