Position Summary: The Administrative Assistant is responsible for performing regular and daily activities for the assigned site and/or assigned executive.
Duties and Responsibilities:
Verify, audit, and forward vendor invoices to appropriate departments for payment.
Provide Procurement Request (PR) support and act as a point of contact for Accounts Payable inquiries across the plant.
Order and purchase departmental supplies, equipment, and tools as required via purchase requisition forms, electronic forms, and/or company card.
Interface with buyers, coordinators, expediters, etc.
Serve as point of contact for coordinating on-site and off-site employee events.
Schedule and facilitate orientation for newly hired employees.
Partner with security to create, activate, and deactivate employee and visitor badges.
Process various employee expense reimbursements, including safety related items.
Maintain departmental and site records and files as required and ensure compliance with corporate standards, policies and procedures.
Coordinate the scheduling of department meetings.
Schedule and notify employees of certifications/seminars; maintain certification records.
Support the day-to-day operations of the facility and provide project support when required.
Required Qualifications:
High School diploma or equivalent required
2+ years of administrative assistant experience in supporting a multi-faceted department required
Computer skills with high-level capabilities in MS Office (Word, Excel, PowerPoint, and Outlook) are essential
Additional Qualifications:
Experience working with several types of databases and reporting systems.
Strong organizational skills with exceptional attention to detail
Strong administrative skills and written and verbal communication skills
Familiarity with SAP and Travel and Expense reporting software
Excellent interpersonal and organizational skills
Experience in a factory or production environment preferred
The expected base pay for this position is $26.92-$32.88
