We are looking for an Administrative Assistant to provide administrative and operational support to an executive team in our New York, NY headquarters.
This role will require personal integrity, good judgment in handling sensitive and confidential matters, and exceptional interpersonal and organizational skills. Excellent attention to detail, and timely, independent execution of responsibilities are necessary in this fast-paced environment. The individual must be a responsible team player who is adept at problem solving, creating solutions, and knowing when to escalate issues. The Administrative Assistant must demonstrate flexibility and comfort in collaborating with colleagues across departments and seniority levels, as well as with external parties. An innate enthusiasm for providing exceptional client service is welcomed.

Your Responsibilities:
- Provide comprehensive administrative, operational and project support to the team
- Effective management of team’s calendars in Outlook
- Coordination of internal and external meetings, including reserving conference rooms, scheduling videoconferencing, and catering if needed
- Answer and manage incoming calls and determine necessary involvement or escalation
- Coordinate domestic travel schedules and itineraries
- Expense report preparation using Concur
- Work proactively with senior leaders providing helpful information on upcoming meetings, commitments, and responsibilities
- Track pending tasks and workflows until completion
- Collaborate with the broader administrative team, jumping in to help as needed
- Work on interesting and stimulating projects as assigned
Preferred Qualifications:
- Bachelor’s degree
- 3+ years of successful experience in a client-driven environment, supporting senior executives
- Demonstrated ability to prioritize and manage multiple projects concurrently
- Advanced proficiency in Microsoft Office Word, PowerPoint, Excel; knowledge of Concur and DocuSign a plus
- Exceptional interpersonal and organization skills; friendly and professional demeanor and ability to build rapport quickly
- Strong verbal and written communication skills with a high level of accuracy and responsiveness; service-oriented and proactive
- Excellent attention to detail and uncompromising commitment to confidentiality, quality, and client service
- Proven ability to work well in and contribute to a team environment
- Flexibility to work overtime, sometimes with limited notice
- Ability to work on-site in corporate office 3 or more days per week

Additional Information:
Base salary for this position will be determined during the interview process and depends on several factors, including previous experience, relevant skills, and current market conditions. The anticipated salary range is $80,000 to $90,000 per year, but the final offer may be outside this range. Total compensation may include discretionary bonuses, alternative incentives, and participation in company-sponsored benefit programs. This position is at-will, and BBR Partners reserves the right to modify compensation and benefits at any time, based on individual performance, team or company performance, and other market factors. This is a non-exempt, onsite position based in our NYC office. As a non-exempt employee, you will be eligible for overtime pay as required by law.
