SUMMARY
An Engineering Administrative Assistant provides administrative and clerical support to the manufacturing engineering team. This role is responsible for maintaining & ensuring accurate control of documentation, Bills of Materials (BOMs), and revision updates, coordinating data entry and assisting with product launches & process improvement initiatives to support efficient and high-quality assembly processes.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Maintain and control engineering documentation including schematics, PCB drawings, assembly instructions, and specifications
- Manage and track Bills of Materials (BOMs), part numbers, and component revisions
- Create Engineering Change Notifications (ECNs) and ensure updates are reflected across systems and documentation
- Support production by ensuring correct documentation is available for PCB assembly, wiring, and testing
- Organize and file build pedigrees, test reports, inspection records, and compliance documentation (e.g., IPC, ISO standards)
- Coordinate with engineering, production, quality, and supply chain teams
- Prepare reports, spreadsheets, and correspondence for engineering staff
- Coordinate meetings, schedules, and communication within the team
- Ensure compliance with company standards for documentation and recordkeeping
- Handle incoming and outgoing technical documentation
- Enter and update data in manufacturing systems (e.g., ERP/MRP systems)
- Assist engineers with build oversight, preparing reports, work instructions, and process documentation
- Perform other duties as assigned
- Comply with and support the health, safety, and environmental programs, policies, and procedures
QUALIFICATIONS/EDUCATION/EXPERIENCE
- High school diploma or equivalent (associate degree in electronics, engineering technology, or related field preferred)
- Previous clerical or administrative experience (engineering or technical environment is a plus)
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Strong organizational and multitasking skills
- Attention to detail and accuracy
- Good communication and teamwork abilities
- Basic understanding of engineering terminology or processes preferred.
- Experience with databases/MRP/ERP systems preferred.
- Ability to read or handle technical drawings (not required but helpful)
- Familiarity with electronic components (resistors, capacitors, ICs) and PCB assemblies is a plus
- Basic understanding of manufacturing processes and terminology
- Ability to handle multiple tasks in a fast-paced environment
LANGUAGE SKILLS
Ability to read, analyze, and interpret common scientific and technical information, reports, and documents. Ability to communicate effectively across multiple site functions and team members. Ability to effectively present information to top management and public groups
PHYSICAL DEMANDS
While performing the duties of the job, the employee is occasionally required to stand, walk, and sit. The employee will occasionally lift and/or move up to 25 pounds. Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
