Job Description:
We are seeking a proactive and highly organized Executive Assistant with strong operational experience. This is a dynamic role that goes beyond traditional EA responsibilities, combining executive support with coordination across systems, projects, and teams.
The role involves regular travel and requires someone who is flexible, adaptable, and comfortable working in a fast-paced environment with shifting priorities.
Key Responsibilities:
- Provide day-to-day executive support including calendar management, scheduling, travel coordination, meeting support, and follow-ups
- Arrange domestic and international travel as required, including complex and frequent travel logistics
- Assist with operational coordination across teams and business functions, ensuring priorities are tracked and completed
- Act as a direct execution support partner to leadership, ensuring priorities are delivered reliably within defined direction
- Take ownership of internal systems, workflows, naming conventions, and documentation to ensure consistent application across teams and locations
- Support implementation and adoption of systems and processes across teams/locations to ensure structure, alignment, and consistency
- Support communication between leadership, teams, and external stakeholders, ensuring clarity and follow-through
- Provide hands-on operational support during travel, including on-site coordination, system implementation, and process reinforcement
Job Requirements:
- 5+ years’ experience as an Executive Assistant or in a similar support role
- Exposure to operations, project coordination, or multi-team environments
- Highly organized with strong attention to detail
- Excellent communication and interpersonal skills
- Comfortable working in a fast-paced and evolving environment
- Able to manage competing priorities with minimal supervision
- Flexible and open to frequent travel requirements

This role is primarily focused on advancing the work of the Foundation through executive-level support, coordination, and communication. In addition, the EA will serve as an occasional backup to the Patron’s Personal Executive Assistant, ensuring continuity of support during absences. This position is designed for a highly organized, discreet, and adaptable professional who thrives in a dynamic environment, values confidentiality, and excels in balancing priorities. ;Key ResponsibilitiesCalendar and SchedulingManage scheduling for Palix leadership and the organization-wide calendar.Maintain the central contact calendar for the Foundation.Coordinate meetings, including preparing background briefings, agendas, and related materials.Ensure smooth coordination of leadership schedules.Email and CommunicationProvide communications support to leadership.Manage logistics-based communication such as scheduling, confirmations, and forwarding external correspondence for review.Serve as gatekeeper by reviewing, prioritizing, and acknowledging messages.
