SCOPE OF WORK: The Administrative Assistant will provide key administrative and front office support, ensuring smooth daily operations. Responsibilities include managing phones, scheduling, typing reports, filing, data entry, and assisting with grants and contracts. The role also involves handling donations, connecting clients to New Hope services, and supporting senior managers in a collaborative, fast-paced environment.
PRIMARY RESPONSIBILITES
Administrative Support
- Handle day-to-day administrative tasks, including answering phones, faxing, copying, filing, and entering statistical data.
- Draft and edit reports, correspondence, and documents as needed.
- Assist in scheduling appointments, meetings, and maintaining office calendars.
- Support senior managers with various administrative tasks.
Office Management
- Manage office supplies and inventory, including ordering, coordinating deliveries, and managing vendor contracts for all sites.
- Maintain office equipment such as phones, copy machines, and postage systems.
- Greet visitors and manage the front desk, ensuring a welcoming and professional environment
Client and Donation Management
- Connect clients with appropriate New Hope services and provide resource referrals.
- Manage agency donations and coordinate donor communications.
Grant and contract support
- Assist in preparing and assembling grant applications, contracts, and renewals in compliance with funding source requirements.
Other Responsibilities
- Review operating practices and procedures to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures.
- Related responsibilities as needed.
- Strong organizational skills with the ability to prioritize and manage multiple tasks in a fast-paced environment.
- Proficient in Microsoft Office Suite (Word, Excel, Access); experience with Raiser's Edge is a plus.
- Strong verbal and written communication skills, with the ability to handle sensitive information confidentially.
- Ability to work collaboratively in a team-oriented setting.
- Excellent attention to detail and problem-solving abilities.
- Bilingual candidates (preferred)
EDUCATION & EXPERIENCE
· High school diploma or GED required; Associate’s or Bachelor’s degree preferred.
· 2-3 years of experience in an administrative or office role, preferably in a non-profit or busy office setting.
· Experience in managing office tasks such as scheduling, report preparation, and data entry.
· Previous experience in fundraising or non-profit support is ideal.
