Job: ADMN-Administrative Assistant - Lawncare Recurring (Operations)

As an Administrative Assistant you will provide essential administrative and clerical support to help ensure the efficient day-to-day operations of the branch. This role supports managers, field teams, and office staff by coordinating information, maintaining accurate records, and assisting with customer, vendor, and internal communications. The ideal candidate is organized, dependable, and comfortable working in a fast-paced, service-oriented environment.
Responsibilities:
Provide general administrative support to operations and office teams, including filing, data entry, document preparation, and correspondence.
Answer and route incoming phone calls, emails, and inquiries in a professional and timely manner.
Maintain accurate records related to customers, vendors, employees, and service activities.
Assist with scheduling, work orders, service requests, and coordination with field crews.
Support basic accounting and administrative tasks, such as invoice preparation, purchase order processing, and expense tracking.
Coordinate and distribute internal communications and assist with reporting as needed.
Maintain organized electronic and physical filing systems in accordance with company standards.
Support compliance efforts by assisting with documentation related to safety, licensing, and regulatory requirements.
Perform additional clerical and administrative duties as assigned.
Facilitate the uniform order request process at the branch level
Greet all incoming visitors and manage walk in applicant traffic
Performing other tasks as assigned
Requirements:
High school diploma or equivalent required.
1–3 years of administrative or clerical experience in an office or operational environment.
Strong organizational skills with the ability to manage multiple tasks and priorities.
Proficiency in Microsoft Office (Word, Excel, Outlook) and basic office equipment.
Attention to detail and accuracy in data entry and documentation.
Strong written and verbal communication skills.
Ability to work independently and collaboratively in a team environment.
Preferred Skills & Experience:
Experience working in landscaping, construction, facilities services, or a similar field-based industry.
Familiarity with scheduling, invoicing support, or customer service functions.
Experience supporting managers or field operations teams.
Basic knowledge of accounting, payroll, or HR administrative processes.
Bilingual (English/Spanish) a plus.
Strong customer service mindset and problem-solving skills.
Acumatica experience is a plus!

You will support the branch with all aspects of office administration to include accounts payable, accounts receivable, billing, reporting, onboarding, and administrative duties. Here’s an overview of what you can expect to do while working here: Manage the application and onboarding process for all candidates and new hires Facilitate the uniform order request process at the branch level Collaborate with branch leaders to ensure timekeeping records for hourly team members are accurate and submitted promptly Assist with accounts payable, accounts receivable and billing management for the branch Support operational leaders with work order management Manage branch reporting for the operational leadership team Manage all inbound calls and handle all customer service inquiries Greet all incoming visitors and manage walk-in applicant traffic Maintain an orderly file keeping system Order branch office supplies as needed Performing other duties as assigned by the leadership team Requirements Minimum 3 years of office management experience to include AP, AR, billing and HR related functions. HS Diploma or GED equivalent, Associates Degree is preferred. Must be proficient with the Microsoft Office Suite Flexibility and willingness to adapt in a fast-paced and ever-changing environment Ability to perform with a high degree of autonomy Excellent communication and interpersonal skills High attention to detail Preferred Skills & Experience Bilingual in English and Spanish Landscape or Construction industry experience NetSuite experience is a plus!
