This Executive Assistant role serves as a critical support to the CEO and as a strategic collaborator at Bank of Utah, playing an essential role in ensuring operational excellence, driving key initiatives, and ensuring policy implementation. This role is instrumental in facilitating decision-making and serves as a link between the CEO, Board and the broader organization.
Job Qualifications:
- Bachelor’s degree in Business, Finance, or related field.
- Minimum 5 years of professional experience with significant executive-level interaction.
- Strong analytical, problem-solving, and decision-making abilities.
- Excellent interpersonal skills and leadership skills.
- Demonstrated ability to manage multiple projects simultaneously.
- Proven experience in strategic planning and execution.
- Proficient in MS Word, Excel and PowerPoint.

Job Description:
- Strategic Planning & Execution: Work closely with the CEO, and the Board to formulate, communicate, and execute strategic initiatives.
- Operations Management: Oversee the day-to-day administrative and operation functions for the CEO, optimize efficiency and ensure alignment with the Bank’s objectives. Provide executive assistance to the CEO, including taking meeting notes, and filing reports for regulators and board members. Prepare payment request vouchers. Prepare a variety of items for board meetings, including notice of meetings and preparation of checks for director fees.
- Type, transcribe dictation, and edit general correspondence. Open and route correspondence and incoming mail; prepare replies to routing inquiries; maintain daily calendar. Make travel arrangements, prepare itineraries, and schedule appointments. Prepare detailed meeting arrangements, send notices, and prepare reports. Prepare and mail correspondence, letters, focus group invitations, and anniversary and birthday letters. Revise, edit, and distribute changes to the General Administration Manual. Provide assistant with public relations events sponsored by the Bank.
- Communication: Ensure transparent and efficient communication across departments, ensuring the flow of information is timely and accurate. Be the point of contact for the Board of Directors and, as necessary, with the Bank’s regulators. When needed, represent the Bank in the media or at other public functions.
- Project Management: Drive cross-functional projects by managing the project list from various department strategic plans to ensure completion.
- Meeting Preparation & Follow-up: Organize and prepare materials for senior leadership meetings, board meetings, and other critical gatherings; ensure proper follow-up and execution of decisions. Be the expert on the Bank’s by-laws and charters of various board committees.
- Issue Resolution: Proactively identify challenges and bottlenecks within the organization and work towards fast resolution.
- Team Leadership: Provide mentorship, guidance, and support to direct reports and foster a culture of excellence. Be a non-biased and trusted advisor to the leadership team.
- Reporting: Regularly update the CEO, and the board on the status of projects, challenges, and opportunities.
- Continuous Improvement: Identify opportunities for operational enhancements, and process improvements. Follows up with staff on directives given by the CEO.
