Job Brief:
A growing, high-performing law firm is seeking an experienced Executive Assistant to support its Owner and Managing Partner. This is a high-impact role requiring exceptional judgment, discretion, and the ability to anticipate needs while ensuring seamless day-to-day execution.
You will serve as a trusted partner and gatekeeper—managing priorities, coordinating communication across the firm, and driving follow-through on key initiatives. This role is ideal for someone who thrives in fast-paced, professional environments and takes pride in operational excellence.
The Job:
The Executive Assistant will play a central role in supporting leadership, ensuring alignment across teams, and maintaining smooth operations through strong organization, communication, and execution.
Key Responsibilities:
- Manage a complex, ever-changing calendar, including scheduling, prioritization, and coordination of meetings
• Oversee email management, ensuring timely responses and proper prioritization
• Anticipate and resolve scheduling conflicts proactively
• Prepare meeting materials, agendas, presentations, and follow-up action items
• Handle sensitive and confidential information with the highest level of discretion
• Serve as a gatekeeper and liaison for internal and external communications
• Track deadlines, deliverables, and commitments to ensure priorities are met
• Draft, proofread, and edit correspondence, reports, and presentations
• Support administrative tasks such as time entry and expense submissions
• Assist with special projects and firm-wide initiatives
Firm & Relationship Management - Act as liaison between leadership, staff, attorneys, clients, and external stakeholders
• Coordinate business travel, offsites, and firm events
• Support internal communications to ensure clarity and consistency from leadership
• Represent leadership professionally in all interactions
Office & Operational Support - Coordinate with vendors and service providers as needed
• Partner cross-functionally with IT, HR, Operations, and Finance teams
• Support high-priority administrative and operational projects
About You - 5+ years of experience supporting senior leadership as an Executive Assistant (law firm or professional services preferred)
• Exceptional written and verbal communication skills
• Strong organizational skills with the ability to manage multiple priorities
• High level of discretion, professionalism, and sound judgment
• Proactive, resourceful, and solutions-oriented mindset
• Ability to work independently in a fast-paced environment
• Strong relationship-building and interpersonal skills
• Proficiency in Microsoft Office; experience with tools like QuickBooks or FileVine is a plus
• Bachelor’s degree preferred; Spanish fluency is a plus
