Executive Assistant to CEO (Remote)

We are a fast-growing, tech-enabled company operating in the digital commerce space, focused on building scalable systems, efficient operations, and high-performing teams.
With a lean team of ~10 and ambitious growth plans, we are looking for a high-impact Executive Assistant to CEO who can act as a force multiplier for the Founder — bringing structure, speed, and operational clarity to the business.
This is not a traditional admin role. This is a strategic operator who thrives in ambiguity, builds systems, and proactively drives execution.
The Role
This role exists to buy back the Founder’s time and increase organizational efficiency.
You will operate as the central nervous system of the business, ensuring that priorities are executed, communication flows smoothly, and systems are continuously improved.
You’ll move between executive support, operations, and light project management, owning outcomes — not just tasks.
Key Responsibilities
Executive Support & Communication
- Manage and optimize the Founder’s calendar, priorities, and daily workflow
- Coordinate meetings, agendas, and follow-ups to ensure decisions turn into action
- Act as a gatekeeper and facilitator across internal and external communications
- Draft, review, and send emails, documents, and internal updates on behalf of the Founder
- Ensure nothing falls through the cracks across tasks, deadlines, and commitments
Operations & Systems Management
- Build, document, and improve internal processes and workflows
- Identify inefficiencies and proactively implement better systems
- Manage tools such as project management platforms, CRMs, and communication tools
- Create dashboards, trackers, and reporting systems to improve visibility
Project Management & Execution
- Own and drive cross-functional projects from start to finish
- Track progress across initiatives and ensure timely execution
- Coordinate across team members to align priorities and deliverables
- Hold stakeholders accountable to deadlines and outcomes
Automation & AI Leverage
- Identify opportunities to streamline workflows using automation tools
- Implement AI tools (ChatGPT, Zapier, etc.) to improve efficiency and output
- Continuously optimize how the business operates using modern tools
Strategic Support
- Act as a thought partner to the Founder on business priorities
- Prepare briefs, research, and summaries to support decision-making
- Help translate high-level ideas into actionable plans
- Step in wherever needed to solve problems and unblock progress
Ideal Candidate Profile
Experience
- 3–7+ years as an Executive Assistant, Operations Manager, or Chief of Staff
- Experience supporting founders, executives, or fast-growing teams
- Background in startups, agencies, or high-growth environments strongly preferred
- Experience working with US-based companies is a plus

Working Style & Expectations
- Operates independently with minimal oversight
- Comfortable working in a remote, async environment
- Aligns closely with US time zones (partial overlap preferred)
- Takes full ownership of outcomes, not just tasks
Compensation & Structure
- Monthly compensation: ~$1,800 – $2,500 USD depending on experience
- Fully remote, long-term opportunity
