POSITION OPENING: EXECUTIVE ASSISTANT TO THE SUPERINTENDENT
JOB TITLE: Executive Administrative Assistant to the Superintendent
LOCATION: Administration Building
REPORTS TO: Superintendent
CLASSIFICATION: Non-Rep, Grade 3
SALARY RANGE: $55,000 - $69,673, additional compensation for BOE recording secretary evening meetings paid at $200 per meeting
WORK YEAR: 52 Weeks
QUALIFICATIONS:
- Bachelor's degree in a related field or equivalent combination of skills and experience.
- Two to five years of executive-level administrative support experience, preferably within a public-sector or educational environment.
- Highly proficient in software applications and advanced computer skills, including, but not limited to, Google Workspace, Microsoft Word, Excel, PowerPoint, and Zoom.
- Excellent organizational skills with the ability to prioritize assignments, manage multiple tasks, and meet deadlines.
- Strong oral and written communication skills with the ability to communicate clearly and professionally with parents, staff, community members, and public officials.
- Ability to prepare routine reports, correspondence, Board agendas, and Board meeting materials with accuracy and attention to detail.
- Ability to work independently, take initiative, and perform effectively with minimal supervision in an environment with frequent interruptions.
- Demonstrated problem-solving skills and the ability to effectively manage situations involving multiple variables and competing priorities.
- Ability to establish and maintain effective working relationships with staff, administrators, Board members, and the school community.
- Demonstrated professionalism, discretion, and exceptional attention to detail.
- Strict adherence to professional standards of confidentiality and the ability to handle highly sensitive information and documents discreetly.
- Flexibility and willingness to adjust work schedule when needed, including required attendance at evening Board of Education meetings and district events.
DUTIES AND RESPONSIBILITIES:
- Maintain strict confidentiality regarding all district business, records, personnel matters, and sensitive information.
- Maintain regular, reliable, and punctual attendance as an essential function of the position.
- Manage the Superintendent's schedule and electronic calendar, including prioritizing requests, coordinating meetings, resolving scheduling conflicts, and ensuring efficient use of time.
- Review, annotate, and process the Superintendent's correspondence and mail, including email communication as requested.
- Serve as a liaison among district staff, Board members, public officials, parents, community representatives, and other stakeholders regarding Superintendent and Board business.
- Provide comprehensive administrative support to the Board of Education, including preparation and distribution of meeting agendas and supporting materials, recording and maintaining accurate meeting minutes, maintaining official Board meeting schedules, posting required public notices of meetings, and coordinating special meetings, workshops, and Board conferences.
- Maintain knowledge of and assist with the implementation and updating of Board of Education policies, administrative guidelines, and compliance with the Open Meeting Act.
- Serve as the District Freedom of Information Act (FOIA) Coordinator.
- Assist with McKinney-Vento Homeless Education activities, including coordination of resources and support services for unhoused families.
- Collect and compile information for the School Infrastructure Database (SID) data submission to the State of Michigan.
- Assist in the preparation and publication of the Annual Education Reports (AER) for the district and individual schools.
- Coordinate and execute annual district recognition programs and special events, including but not limited to: Auburn Hills Chamber of Commerce Excellence In Education program, Top Scholars celebration, Retirement celebrations, and the Optimist Club Lifetime Achievement and Outstanding Educator Awards.
- Perform other duties as assigned by the Superintendent.
