Immaculate Conception Parish in Milan is seeking a Office Manager. This is a part-time position (2-3 days per week onsite) reporting to the Pastor.
General Summary: This position assists with the ministry of the parish by overseeing the general office of the parish. The incumbent directs these efforts with technical expertise within a framework of shared ministry, stewardship, and Catholic values.
Primary Duties and Responsibilities:
Banking/Bookkeeping Assistance: coordinate with volunteer and paid staff to assist with:
- Manage banking activities of Sunday collections and counting procedures, and coordinate with bookkeeper to prepare and ensure timely bank deposits of these activities.
- Work with the pastor and bookkeeper to periodically report on the condition of the parish's physical assets, along with the administrative status of the parish.
- Maintaining computer assets of the parish, including networking and parish web pages, as needed.
- Research and monitor service contracts, suppliers and vendors for fair pricing and competitive bidding.
- Working with bookkeeper to ensure proper tracking of staff use of paid and unpaid time off.
- Coordinating with bookkeeper any new employee paperwork and file.
Facilities: coordinate with volunteer and paid staff to assist with:
- Management and care of parish facilities:
- Scheduling and collecting rental deposits/payments.
- Maintaining insurance coverage.
- Facility inventory and purchasing of supplies and equipment, as needed (obtaining approval, as appropriate).
- Arranging and securing contractor bids and negotiating contracts.
- Coordinate the use of facility keys.
- Assessments as to needed capital repairs and to place them in their relative priorities for accomplishments.
Other: coordinate with volunteer and paid staff to assist with:
- Tracking business activities of the parish (e.g., religious education, youth ministry, other parish activities).
- Developing and recommending (to the pastor and other appropriate parish staff) the necessary policies, methods, and procedures needed for carrying out administrative services, in conjunction with the Diocese of Lansing policies.
- Tracking parish maintenance, janitorial, housekeeping, and bookkeeping schedules.
- Serving as Safe Environment Coordinator, if needed.
- Recording all weddings, baptisms, and funerals, and may assist with recording First Eucharist, First Reconciliation, and Confirmation.
- Maintaining Mass Intention book, cards, and money.
- Creating weekly (at the direction of pastor): Prayers of the Faithful and Mass announcements.
- Handles sensitive information confidentially.
Knowledge, Skills and Abilities:

Education:
|
High school degree required. Associate’s degree in business administration (or similar) not required, but preferred.

Experience:
|
Minimum two years of experience as an administrator or manager of an office, excellent customer service skills, and be fluent with Microsoft Excel, Word, and Outlook. Must have an understanding of Catholic parish organization and be a practicing Catholic.

May require occasional weekend work. Must be able to maintain confidentiality at all times.

Physical Demands:
|
While performing duties, employee has to sit for long periods of time, use hands in repetitive motion, and answer phone calls and emails. The position also requires some standing, stooping, and bending while filing. Employee is expected to work onsite, 2-3 days/week, with minimal travel. Must be able to lift up to 40 lbs.
