Overall Objectives
The Bilingual Executive Assistant provides high-level administrative support to the Executive Director, helps manage Executive Director communications, coordinates initiatives, and helps support/further the mission and daily operations of Yinghua Academy. This role requires strong bilingual communication skills (English/Mandarin), exceptional organizational ability, and sound judgment. The Bilingual Executive Assistant also helps plan and implement major school events, supports external partnerships, and provides oversight for certain program areas.
Principal Roles & Responsibilities
- Manage the Executive Director’s calendar, including scheduling meetings, appointments, and event attendance.
- Prepares and sends written communications on behalf of the Executive Director, ensuring clarity, accuracy, and appropriate tone.
- Answers and responds to phone calls, relaying messages and information to the Executive Director in a timely and professional manner.
- Support the Executive Director with board meeting preparation, document management, and hospitality.
- Track tasks and projects for timely completion, following up as needed to ensure progress.
- Plan and coordinate school-wide events (Yinghua University, Tea and Talk events, and Kindergarten Round-Up, graduation, etc.). Duties include logistics planning, material preparation, day-of coordination, and serving as a professional representative during events.
- Serve as a representative of the Executive Director during events, providing professional and culturally competent service.
- Coordinate the planning and execution of the school’s annual Lunar New Year celebration, working closely with leadership, academic departments, and administrative teams.
- Provides oversight and support for select student-focused programs and services as assigned by school leadership to meet evolving school needs.
- Collaborate with program staff to monitor schedules, attendance, safety protocols, and staff performance.
- Support relationships and communications with international sister schools, including correspondence, coordination of visits, and cultural exchange initiatives.
- Attend school events and activities as a representative of school leadership.
Communication
- Draft, translate, and edit correspondence, communications, and reports in both English and Mandarin.
- Serve as a liaison between the Executive Director and staff, families, and external partners by relaying timely and accurate messages and maintaining consistent communication.
- Provide translation support for Executive Director communications and live interpretation when needed.
- Prepare presentation materials, briefing documents, and talking points for internal and external meetings.

Qualifications
- Bachelor’s degree required; Master’s degree preferred
- Fluency in Mandarin Chinese and English (spoken and written) required
- Experience working in a K–8 school setting and/or in an administrative support role strongly preferred
- Exceptional organizational skills with the ability to manage complex schedules, multitask, prioritize, and meet deadlines in a fast-paced environment
- Strong verbal and written communication skills, with the ability to convey information clearly and professionally
- High level of discretion, sound judgment, and the ability to handle confidential or sensitive information with integrity
- Proven ability to work both independently and collaboratively across departments
- Skilled in building trust and maintaining positive relationships with diverse individuals and groups
- Proficiency in Google Workspace, spreadsheets, and digital collaboration tools
- Cultural competence and the ability to work respectfully within a multilingual, multicultural school community
- Willingness and availability to work occasional evenings and weekends for school events
