We are seeking a talented Executive Assistant to help us create the future of lunar surface mobility in a fast-paced startup environment.
As the Executive Assistant, you will be responsible for providing high-level administrative support to Lunar Outpost’s Chief Executive Officer. The ideal candidate is excited about the prospect of cultivating efficiency for the CEO, thereby contributing to the company's success and the realization of our mission to enable a sustainable human presence in space.
Key Responsibilities:
- Manage communications, including reading emails, answering the phone, and taking messages from and for the CEO
- Manage the CEO’s calendar, including coordinating meetings, scheduling appointments, and responding to communications on the CEO’s behalf
- Support the COO, CTO and CSO
- Respond to general requests
- Coordinate travel (domestic and international), including booking travel arrangements and coordinating agendas; manage expense reports
- Synthesize information from multiple sources, prioritize actions, and keep the CEO informed of upcoming commitments and responsibilities
- Liaise with key stakeholders, including other senior management and external partners
- Develop and draft presentations and/or other various documents; prepare the CEO for meetings
- Attend assigned meetings and record and prepare the minutes, including key actions
- Greet guests and visitors
- Assist with planning internal and external events
- Maintain office supplies and inventory
- Organize weekly cleaners
- Prepare meeting rooms for use
- Manage special projects as needed
- Handle sensitive information with a high level of confidentiality and discretion
- Exercise adaptability, a strong attention to detail, and organizational skills to increase efficiency while maintaining high-quality execution
Requirements:
- 2-3 or more years of experience in supporting a senior executive
- Team-oriented, with excellent verbal and written communication skills and interpersonal skills
- Superior organizational skills and attention to detail
- Ability to multitask and prioritize tasks effectively
- Ability to think on your feet; strong problem-solving skills
- Ability to exercise good judgment
- Positive and professional attitude
- Ability to exercise discretion with respect to confidential or sensitive information
- Have a high level of proficiency in Microsoft Office Suite and other office management software
- In-person role, with extended hours; work on weekends may be required as necessary to support the CEO’s schedule
- Possible domestic and international travel
Any offer of employment for this position is conditional upon Lunar Outpost receiving the LTVS SubCLIN 1C Award from NASA. If the contract is not awarded to Lunar Outpost, this offer will be considered null and void, without further obligation to Lunar Outpost.
Compensation & Benefits: Compensation level and base salary are competitively structured and thoughtfully determined based on factors such as relevant skills, experience, education, and the scope of the role.
