POSITION SUMMARY:
Provide high-level administrative support to the Division President, Senior Leadership team and day-to-day management of the Northeast Division office, based out of Parsippany, NJ. The person will conduct the role in an effective, confidential, and efficient manner, while demonstrating strong customer focus and ensuring seamless coordination across office operations, leadership needs, and internal and external partners.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Coordinate schedules, make appointments, arrange and coordinate travel schedule, maintain calendar, and contacts
Arrange meetings, including all logistics (catering, agendas, and facilities)
Create PowerPoint presentations as directed
Keep the President and leadership team informed and follow up on all assignments in a timely, effective and efficient manner
Manage requests for Division President’s time in a timely and customer focused manner
Prepare expense reports for team
Organize and maintain filing system
Provides day-day office management support; including managing office visitors, ensuring the meeting and break rooms are tidy
Serve as liaison between the office and building management/landlord for maintenance, access, and facility related needs
Manage office security systems, including badge access, vendor coordination, and troubleshooting issues
Act as a liaison between the IT department and leadership team to support onboarding, offboarding, and day to day technology needs
Track and help drive completion of key deliverables and following up on outstanding items
Work with other assistants throughout the CRH/Americas Materials organization and across the rest of the company
Completes other duties as assigned
Manages the executive’s workflow and priorities and anticipating steps ahead and keeping them focused on the most important projects.
Create and distribute intercompany correspondence
Develop, refine and distribute presentations/materials for meetings and take meeting minutes as needed.
KNOWLEDGE AND SKILL REQUIREMENTS:
Excellent verbal/written communication skills
Ability to handle confidential information (both oral and written)
Demonstrates close attention to detail
Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Microsoft Teams)
Demonstrated strengths in customer focus, action orientation, problem solving, interpersonal savvy, time management, planning, organizing, dealing with ambiguity, composure, organizational savvy and drive for results
Ability to work independently and in a team environment
Ability for minimal travel
Ability to manage multiple priorities
Experience with Concur travel and expense
EDUCATION:
High School Diploma or equivalent mandatory
A Bachelor’s degree is preferred.
WORK EXPERIENCE:
7-10 years’ experience supporting executives, preferably with a large public company.
