JOB DESCRIPTION
Job Title: School Secretary
Department: School
Reports To: Principal
SUMMARY: Works under the supervision of the School Principal to perform a wide variety of moderately difficult clerical duties related to the operation of a school office and the performance of secretarial duties for an organized and efficient school office.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Type memos, correspondence, bulletins, class lists, purchase orders, statistical reports, student records and other materials.
- Submit required reports with accurate data to state and federal agencies.
- Receive and place telephone calls, record messages with exemplary customer service.
- Maintain financial, statistical, attendance and other school records.
- Responsibly handle money, issue receipts, deposit money per District policy and procedures.
- Maintain a regular filing system.
- Process correspondence for staff and parents.
- Manage course scheduling and enter student schedules in Powerschool.
- Order relevant school and office supplies.
- Maintain a current school inventory and key distribution system.
- Request service as needed to maintain office equipment in good working order.
- Write student admittance slips, passes, homework requests.
- Maintain the confidentiality of the Principal and the staff.
- Maintain a school master calendar.
- With the school attendance clerk, oversee the registration of new students.
- Assist with school transportation matters as needed.
- Prepare a monthly calendar/newsletter to the school community.
- Greet the public in a courteous manner.
- Respond to inquiries from parents, students, teacher and administrators with information of routine nature.
- Assist staff as needed in school-wide projects and events.
- Schedule and organize student picture days.
- Fill in for the school medical assistant/attendance clerk as needed.
- Supervise the school office clerk (if applicable).
- Maintain file on use of buildings and equipment by staff and public.
- Follow district policies and procedures as adopted by the Governing Board.
- Perform other related duties as assigned by the Principal.
MINIMUM
QUALIFICATIONS:
1. High School graduate
- Experience working in a school or office environment
- Ability to work with others in a team effort
- Dependable
- Excellent organization skills
- Technical literacy
- Ability to work with children and adults
SCOPE AND SALARY:
220 day position as an at-will hourly employee based on the classified staff salary schedule, with holidays and benefits according to district policy.
