Position Overview
LifeStraw is seeking a highly organized, strategic, and proactive Executive Office & Operations Manager to support our Baltimore headquarters and executive leadership team. This is a high-visibility, cross-functional role responsible for:
- Driving efficient and professional office operations
- Providing executive-level administrative and operational support
- Acting as a key partner to leadership, including direct support to the CEO
- Supporting HR coordination and internal operations
The role requires strong business acumen, sound judgment, and the ability to operate with discretion while managing competing priorities in a fast-paced, mission-driven environment.
Key Responsibilities
Executive & CEO Support
- Provide direct administrative support to the CEO, including complex calendar management, prioritization of meetings, and time optimization
- Prepare executive materials such as board decks, leadership presentations, and briefing documents
- Manage confidential communications and act as a gatekeeper for executive requests and priorities
- Coordinate executive travel, including detailed itineraries, logistics, and last-minute adjustments
- Track and follow up on key action items from leadership meetings to ensure accountability and execution
- Support preparation for board meetings, investor updates, and strategic planning sessions
- Serve as a liaison between the CEO and internal/external stakeholders, ensuring alignment and communication flow
Leadership & Administrative Support
- Provide high-level administrative support to senior leadership (calendar coordination, meeting planning, presentations)
- Coordinate cross-functional meetings and leadership off-sites
- Assist in developing internal communications and executive messaging
- Support strategic initiatives by coordinating timelines, deliverables, and stakeholder communication
Office Administration & Operations
- Oversee daily office operations, ensuring a seamless and professional environment
- Manage front desk operations, mail distribution, visitor experience, and office coordination
- Maintain office supplies, kitchen inventory, and restocking schedules
- Manage vendors for office maintenance, cleaning, repairs, and deliveries
- Oversee office budget tracking, purchase orders, and expense management
- Ensure office systems, equipment, and workflows are efficient and operational
HR & Operational Support
- Maintain accurate employee records in HRIS while ensuring confidentiality and compliance
- Coordinate onboarding logistics, including documentation, orientation scheduling, and new hire experience
- Support benefits administration and open enrollment activities
- Assist with recruitment coordination and candidate scheduling
- Maintain compliance documentation (handbooks, training logs, audits)
- Support performance management processes, including tracking review cycles and documentation
- Partner with HR on employee engagement initiatives and internal programming
Events & Culture
- Plan and execute internal meetings, leadership offsites, and company events
- Coordinate catering, team events, and employee engagement activities
- Support LifeStraw’s participation in community initiatives and external events
- Help foster a positive, organized, and engaging office culture
Qualifications
- 5+ years of experience in executive administration, office management, or operations
- Proven experience supporting senior executives (C-suite support strongly preferred)
- Strong proficiency in Microsoft Office Suite and collaboration tools (e.g., Google Workspace, Slack, HRIS systems)
- Demonstrated ability to manage sensitive information with discretion and professionalism
- Exceptional organizational, project management, and multitasking skills
- Strong written and verbal communication skills
- Experience in a fast-paced, high-growth, or mission-driven organization preferred
