The Security Enterprise Solutions (SES) Ports and Borders division develops advanced security equipment and enterprise software that power a more seamless and secure global commerce ecosystem. Our technologies enable the safe, efficient movement of people and goods across ports, borders, aviation, and critical infrastructure environments worldwide.
We are seeking a highly organized, proactive Administrative Assistant to support our engineering team and leadership. This role is ideal for a detail-oriented professional who thrives in a fast-paced environment, communicates effectively, and takes initiative to keep teams operating smoothly.
Key Responsibilities
Provide comprehensive administrative support to the Ports and Borders engineering team and SES engineering leadership
Manage complex calendars, schedule meetings, and coordinate both in-person and virtual events
Arrange domestic and international travel, including itineraries and expense reporting
Support hiring and onboarding activities, including coordinating workspace setup and IT equipment provisioning
Process purchase requests and track departmental orders, maintaining accurate records and reporting
Develop and format high-quality executive presentations (PowerPoint), including data visualization and charts
Maintain and update the engineering SharePoint site with relevant documentation and resources
Draft, edit, and distribute internal and external communications
Coordinate logistics for team meetings, events, and leadership engagements, including catering and materials
Required Qualifications
High school diploma or GED with 2–4 years of administrative support experience
Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Exceptional organizational skills with the ability to manage multiple priorities simultaneously
Ability to work independently with a strong sense of urgency and accountability
Excellent written and verbal communication skills, with the ability to interact professionally across all levels of the organization, including executive leadership
Preferred Qualifications
Experience leveraging AI tools to streamline administrative workflows (e.g., reporting, scheduling, documentation)
Familiarity with Costpoint and Quickbase
