Job Summary
We are seeking an Administrative Assistant for a non-profit in Selma. The Administrative Assistant/Office Manager will perform all general organizational office activities and provide clerical support to other employees and the Board of Directors.
Responsibilities
Receive, reply to, or forward phone calls and messages, email messages, and regular mail
Keep inventory of office supplies and advise when new purchases are needed from Quill.com
Maintain donation database and files, create and mail tax receipts and thank-you cards
Assist Volunteer Coordinator with data entries in Volunteer data base, if needed
Print and assemble marketing packages, brochures and other office forms
Call riders and Instructors/Therapists to cancel when needed
Text riders the day of appointment to see if any cancellations
Text daily lead volunteers with rider attending and/or cancelling
Print mailing labels and other labels as needed for SLC
Create and maintain paper files as needed; payment records and horse exercise charts
Maintain supply of forms in office files: volunteer registration forms, rider registration forms, initial evaluation forms, rider policy & procedure packet with current session calendar, scholarship application forms, etc.
Assist with details for Rider Showcase, Christmas Party and other events as needed
Assist with travel arrangements for PATH Annual Conference and other travel as needed
Print and distribute holiday party invitations
Prepare for distribution of the calendars by mail for volunteers, riders, donors, etc.
Maintain rider data base in Access and filing systems in office
Billing weekly to CLASS programs
Billing daily or monthly to self-pay clients
Maintain lost rider revenue spreadsheet based on weekly payment records
Print out 3625 forms weekly for riders in CLASS programs and attach to clipboards
Receive visitors/clients and handle requests for information and inquiries
Qualifications
Possess a high school diploma or equivalent experience
QuickBooks knowledge preferred
Basic computer and data entry skills
Experience using office equipment (phones, printers, scanners, copiers)
Strong customer service and people skills
