Job Summary:
Aspire Developmental Services is seeking a highly organized and detail-oriented Administrative Assistant to support our Early Education program. This role is essential to daily operations, ensuring strong administrative systems, compliance with EEC regulations, and smooth coordination across staff, families, and partners.
Key Responsibilities:
Administrative & Office Support
Serve as first point of contact for families, staff, and visitors (phone, email, in-person)
Maintain organized files and office systems
Schedule tours, meetings, and appointments
Support enrollment, applications, and waitlist management
Compliance & Documentation (EEC)
Maintain accurate child records in compliance with EEC regulations
Track required documentation (physicals, immunizations, consents, etc.)
Prepare and organize records for licensing visits
CPPI Coordination
Support administrative needs for CPPI classrooms and partnerships
Maintain required documentation and assist with reporting and communication
Coordinate with public school partners and families as needed
Data & Reporting
Maintain accurate data across systems (attendance, enrollment, compliance)
Generate reports for leadership and regulatory requirements
Ensure data accuracy, organization, and confidentiality
Program Support
Maintain supply inventory and assist with ordering
Support overall organization and daily program flow
Communicate with families regarding program updates and required forms
Qualifications
High school diploma & EEC Certified required; Associate�s degree preferred
Preferred fluency in English and Spanish
Administrative experience required; early education experience preferred
Strong organizational, communication, and multitasking skills
Ability to maintain confidentiality and manage detailed records
Familiarity with EEC regulations, CPPI, and data systems preferred
Ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment.
Physical Demands: Good Health, Ability to lift and position children weighing up to 40 pounds and to provide respectful, nurturant care in case of emergency situations.
