This position provides administrative support to the site leadership team and plays an important role in maintaining efficient office operations and clear communication across the site.
Reporting to the VP/GM – Bridgeton, the Administrative Assistant supports leadership activities, coordinates visitor logistics, assists with communications, and helps manage administrative processes that keep the site running effectively.
The ideal candidate is organized, dependable, adaptable, and comfortable working in a fast-paced environment. Strong communication skills, attention to detail, and the ability to manage multiple priorities are essential.

Responsibilities:
Administrative Support
Provide administrative support to the VP/GM and site leadership team.
Assist with scheduling meetings, preparing materials, and tracking assignments.
Generate and format reports as requested by leadership.
Support communication between leadership and cross-functional teams.
Visitor Coordination & Logistics
Serve as a primary point of contact for site visitors and guests.
Coordinate logistics for leadership visits and group meetings.
Provide front office support to ensure smooth daily operations.
Operational & Financial Support
Process to purchase requisitions and assist with invoice reconciliation.
Maintain accurate records and documentation.
Support administrative processes to improve office efficiency.
Communication & Coordination
Assist with planning Town Halls and site meetings.
Draft, format, and distribute internal communications via email and Teams.
Coordinate meeting logistics, materials, and vendor support as needed.
Process & Cross-Functional Support
Identify opportunities to improve administrative processes.
Provide support across site functions as needed.
Maintain professionalism, accountability, and attention to detail in all tasks.
Qualifications:
Required
High School diploma or equivalent.
3+ years of progressive administrative experience.
Strong organizational, time management, and prioritization skills.
Ability to work independently with minimal oversight.
Exceptional written and verbal communication skills.
High level of professionalism, confidentiality, and discretion.
Strong interpersonal skills with the ability to collaborate across all levels of the organization.
Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
Ability to navigate internal systems and network resources to seek solutions.
Reliable attendance and dependability.
Preferred:
Associate’s degree with 5+ years of administrative experience.
Experience supporting senior-level leadership.
Demonstrated ability to independently determine work methods and procedures in complex situations.
Experience contributing to process improvement initiatives.
Strong attention to detail and analytical capability.
