The Role
We're looking for a highly organized, detail-oriented Executive Assistant & Office Manager to support our CEO and COO while also owning the day-to-day workplace experience for the team. This is a role for someone who thrives on creating structure and organized systems, anticipates needs before they're asked, and enjoys the variety of switching between calendar Tetris and stocking the snack shelf.
Key Responsibilities
Executive Support (CEO & COO)
Manage and proactively maintain calendars for two executives, resolving scheduling conflicts and prioritizing time
Coordinate domestic (and occasional international) travel logistics for executives as well as other team members as needed: flights, hotels, itineraries, etc.
Draft and manage light correspondence and follow-ups on behalf of the CEO/COO
Prepare materials or agendas for recurring meetings as needed
Act as a point of coordination between the executives and internal/external stakeholders
Office Management / Workplace Experience
Coordinate weekly team lunches and other recurring team events
Manage office snack/supply ordering and vendor relationships
Support day-to-day office operations and act as first point of contact for workplace-related questions
Support the planning and execution of an office expansion and/or full office relocation (anticipated spring 2027), including logistics coordination, vendor communication, and move-day support
Help maintain a positive, well-run office environment as the team scales
Qualifications
1–3 years of experience in an EA, office coordination, or administrative role (internships count)
Excellent written and verbal communication
Highly organized with strong attention to detail and follow-through
Comfortable managing competing priorities across two executives
Discretion with sensitive/confidential information
Proactive, low-ego, "no task too small" attitude
Experience with calendar/travel tools (Google Workspace, Outlook, TripActions, etc.) a plus
Must be comfortable working 4-5 days a week onsite in our NYC office

Work Schedule: Monday through Friday Shift hours 8:00am – 5:00pm In This Role, You Will: Legal: ensure the legal department is provided with all Division and Business Unit compliance documents and contracts in accordance with best practices. Documentation and Record-Keeping: Prepare, review, and maintain accurate records, including hazmat certifications and current training materials, hazmat and SCAC renewals, security trainings, company directories. Ensure all documentation is compliant with company policies and regulatory requirements and posted in appropriate repositories. Scheduling and Coordination: Assist in scheduling meetings, transportation, sites and food planning for management’s meeting and events. Sales & Marketing: Liaison with marketing and sales teams to ensure marketing materials are current and readily available for use, and website accurately reflects all business units within IML. Compliance: Ensure all logistics activities comply with company policies, industry regulations, and security standards. Assist in preparing for audits and inspections. Staff Onboarding: assist local managers with onboarding new hires by coordinating with necessary departments for required documentation and completion of training requirements including but not limited to HR, safety and security. Special Projects: Participate in or lead special projects as assigned, such as process improvements, system implementations, or cost-saving initiatives that support efficient service delivery and meet the organization’s changing needs. Coordinate tasks, resources, stakeholders, and any other project elements, in addition to managing conflicts between different aspects of a project, making trade-offs between competing requests, and evaluating resources. The salary range for this position may be lower or higher in different markets. The pay for this role is: $21.63 to $32.45 per hour.
