Position Overview
In this role, you will manage schedules, prepare documents, support meetings and projects, maintain office resources, and communicate with internal and external partners. Regular hours are Monday through Friday, 8:00 a.m. to 4:30 p.m., with occasional additional hours for special events.For more than a century, St. Camillus has enriched the lives of older adults through compassionate, mission-driven care. Essential Job Functions
Manage calendars, appointments, meetings, and schedule updates
Prepare, format, review, and edit correspondence, reports, presentations, and other documents
Coordinate meetings and travel and handle routine and confidential correspondence
Prioritize assignments and complete accurate work on time
Research and compile information, maintain files, track deadlines, and follow up on deliverables
Support Board, committee, leadership, and departmental meetings by preparing materials, taking minutes, and tracking action items
Coordinate rooms, catering, vendors, materials, and expenses for events and meetings
Protect sensitive and confidential information
Maintain printers and office equipment; monitor and order supplies
Process Sage invoices and assist with credit card reconciliations
Provide courteous service to employees, residents, visitors, vendors, and partners
Maintain organized electronic and paper records
Perform other duties as assigned
Qualifications
Three or more years of administrative or office support experience; non-profit, healthcare, senior living, or service-focused experience preferred
Strong written, verbal, interpersonal, and customer service skills
Ability to manage changing priorities with organization, accuracy, and follow-through
Minimum typing speed of 60 words per minute
Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
Experience preparing reports, tables, charts, and spreadsheets and using Excel formulas
Knowledge of office systems, administrative procedures, and professional documentation standards
Strong English grammar, composition, spelling, and writing skills
Ability to handle confidential information appropriately
Additional Requirements
Ability to perform all essential job functions safely
Valid driver’s license, current vehicle insurance, and a driving record compliant with the St. Camillus Safe Driving Policy when using a personal vehicle for work
