Position Summary:
The Executive Assistant in the Office of the Executive Director is responsible for providing high-level administrative and secretarial assistance to the Executive Director, Leadership Team, Executive Office team members, and other staff as requested.
Qualifications:
- College-level coursework in secretarial and administrative office skills or equivalent education or experience required.
- Three (3) years of administrative secretarial experience providing executive-level support in an educational setting, preferred.
- Proficient in Microsoft Office Suite or related software.
- Strong verbal, written, analytical, interpersonal, and organizational skills and attention to detail.
- Ability to plan, organize, and prioritize multiple projects to meet quick deadlines.
- The holder of this position could be required as part of his or her duties to engage in activities that can be charged to a Medical Assistance (MA) program. Clearance as a MA provider by both the Commonwealth of Pennsylvania and the federal government is therefore an essential qualification for this position.
Job Responsibilities (see attached job description for additional details):
- Provide executive-level administrative support to the Executive Director, including calendar management, correspondence, document preparation, and confidential communications.
- Coordinate meetings, events, and office operations, including scheduling, logistics, meeting materials, and recording meeting notes.
- Serve as a liaison between the Executive Director, staff, community partners, elected officials, and the public, ensuring professional and responsive communication.
- Prepare reports, surveys, presentations, and other materials by gathering, analyzing, and summarizing information.
- Manage office financial and administrative processes, including invoices, reimbursements, memberships, purchasing, inventory, and records management.
- Support special projects and organizational initiatives, including superintendent searches, employee recognition programs, Right-to-Know requests, and directory management.
- Maintain accurate files, records, and databases while ensuring confidentiality and efficient information access.
- Design, administer, and analyze organizational surveys and provide data-driven summaries and recommendations.
- Demonstrate exceptional customer service, professionalism, and organizational knowledge while representing the Berks County Intermediate Unit.
- Collaborate with Executive Office and administrative team members to support organizational goals and other assigned responsibilities
Schedule:
Non-Exempt, Full-time, Twelve months/year (260 days).
Salary:
Salary range is $51,288 to $69,268 (commensurate on experience) as established by the Intermediate Unit Board of Directors per the Compensation and Benefits Plan for Leadership Team, SRI 9.
