General Summary: The Maintenance & Construction Administrative Assistant will support the Maintenance and Capital Projects teams, as well as the COO, with regular administrative functions. This can include, but is not limited to, scheduling, billing support, note-taking, inventory, and more. The hybrid role is limited to sixteen hours per week, unless otherwise agreed upon.
Additionally, the Maintenance & Construction Administrative Assistant will support the Zoo’s mission to save wildlife and protect wild places and contribute to its environmental, social, governance sustainability, conservation, education, and DEAI (Diversity, Equity, Accessibility, and Inclusion) goals.
Essential Functions:
Primary Functions:
● Responsible for scheduling
● Responsible for processing invoices and credit card statements
● Responsible for taking notes in meetings and providing meeting summaries to the team following each meeting.
● Responsible for the organization of and management of files within the Zoo’s Google Drive
● Support the Maintenance team in establishing and maintaining PM systems & inventories
● Support the Capital Projects team in digitizing drawings and paper files
● Responsible for small project management, as directed
Minimum Qualifications:
Education:
● High school diploma or equivalent.
Experience/Training:
● Three to five years of administrative experience in maintenance or related field;
● Experience creating and managing spreadsheets
● Knowledge and experience with Google Workspace
● Valid driver’s license preferred.

Equipment:
● Must be able to operate a variety of machines and equipment including computer, copier/printer, telephone, radio, golf cart, and vehicles, etc.
Working Conditions:
● Must be able to exert up to 25 pounds of force occasionally, 35 pounds frequently and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Physical demands are in excess of those for sedentary work; must be able to remain on feet for periods of time, stoop, kneel, crouch, crawl, push, pull, climb, balance;
● Must be able to travel large areas of the Zoo as needed;
● Must be able to work in an outdoor weather environment in all seasons and weather, including heat/humidity, cold temperatures, and/or wet conditions;
● Exposure to potential environmental hazards such as poison oak/ivy, uneven terrain, insect bites/stings, and Hepatitis B depending on the position.
● Ability to work a flexible schedule to include weekends, holidays, and special events; and,
● Exposure to zoonotic diseases and risk of animal attack.
