Executive Assistant to the CEO

Our client is a boutique music merchandise company based in Los Angeles, working with some of the most impactful global touring artists in the alternative music space — think Coachella, Lollapalooza, Warped Tour, and beyond. Though they operate at a high level, they're a tight, independent team doing highly custom, highly creative work for artists on the rise and at the top. As touring volume continues to grow, they're expanding their operations team to keep pace.
Role Overview
We're looking for a sharp, proactive Executive Assistant to support the CEO at a fast-moving music merchandise company. You'll be the operational backbone for a busy founder — managing the day-to-day so they can stay focused on the big picture. Much of what keeps this business running currently lives in the CEO's head rather than in any system, so a real part of this role is bringing structure to it: capturing open commitments, organizing key relationships, and making sure nothing runs on memory alone. Responsibilities
- Manage and maintain the CEO's calendar, including scheduling meetings, calls, and travel with a high degree of accuracy and discretion
- Serve as the primary point of contact between the CEO and internal/external stakeholders, handling correspondence with professionalism and urgency
- Prepare the CEO for meetings, calls, and client interactions with briefing materials, context, and relevant background
- Track deadlines, deliverables, and action items across multiple ongoing projects and initiatives
- Follow up on open items and commitments coming out of the CEO's conversations to ensure nothing falls through
- Prepare meeting agendas, take notes, and follow up on action items to ensure accountability
- Support event and production coordination tied to live entertainment, merchandise launches, tours, pop-ups, and artist activations as needed
- Build and maintain working relationships with artist teams, managers, and tour staff on behalf of the CEO
- Manage expenses, process invoices, and assist with light budget tracking
- Establish and maintain tracking systems, contact records, and workflows that improve how the CEO's office operates
- Handle confidential information with the utmost discretion
- Anticipate the CEO's needs and identify ways to create greater efficiency in their day-to-day
Qualifications
- 2–5 years of experience as an Executive Assistant, Personal Assistant, or Chief of Staff — ideally supporting a C-suite executive
- Background in music, entertainment, or live events strongly preferred
- Familiarity with the music merchandise or touring industry is a significant plus
- Strong project management skills; able to juggle multiple priorities without dropping the ball
- Exceptional written and verbal communication, including the ability to draft correspondence and summaries that represent the CEO accurately
- Highly organized, detail-oriented, and able to work with minimal oversight
- Discretion and sound judgment — this role has visibility into sensitive parts of the business
- Comfortable in a fast-paced, entrepreneurial environment where priorities can shift quickly, with a bias toward moving things forward rather than waiting for instruction
- Presence and professionalism in client-facing settings — this role represents the company to artists, managers, and partners
- No task is beneath the role; the work spans high-level projects and day-to-day logistics, both held to the same standard
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Asana, and Monday.com
- Based in or able to commute to Los Angeles
