Administrative Assistant Intermediate – Radiation Oncology

We are seeking an organized, technology forward, and quietly sharp administrative professional to join a small, close knit Radiation Oncology team at University Hospital. This position supports a small department of physicians and physicists. Day to day responsibilities include managing complex schedules, supporting clinic related project work assigned through the Project Coordinator, and contributing to process improvement and digitization efforts across the department.

Reports to: Vice Chair of Clinical and Academic Administration

Direct reports: None

Shift: Full time, Monday – Friday, onsite   

Location: Indianapolis, IN – University Hospital

The Scope: 

This role provides advanced administrative support to physicians and physicists in Radiation Oncology, including:

• Managing complex physician and physicist schedules and coordinating cross functional meetings and clinic related logistics
• Supporting scheduling and clinic related project work outside of day-to-day operations
• Handling sensitive information with professionalism and discretion
• Digitizing and improving administrative processes 
• Providing proficient support across Microsoft Office
• Supporting clinical workflows as needed to ensure timely and accurate administrative contributions to patient care operations
• Participating in workflow optimization tasks and collaborating with leadership to identify and implement clinical efficiency improvements over time

Candidate Qualifications

Candidates for this position will be evaluated according to the following criteria and competencies.

• High School Diploma/GED is required.
• Requires 2-4 years of relevant administrative experience in a healthcare or complex organizational setting.
• Experience with a matrix organization and complex work environment is a plus.
• Requires proficiency in MS office (Word, PowerPoint, Excel).
• Requires proficiency in EMR and medical terminology for clinical care focused positions.
