Description

We are seeking a highly organised, proactive and professional Executive Assistant to support our Chief Executive Officer and Executive Leadership Team. Based at our Head Office in Richmond, this role is central to ensuring the smooth operation of the CEO’s office and supporting the delivery of key organisational initiatives.

As Executive Assistant, you will be responsible for providing high-level administrative and executive support, managing priorities, coordinating Board and governance activities, and supporting organisational events and travel. You will be trusted to manage sensitive information with discretion while using technology and systems to improve efficiency and effectiveness across the executive office.

Your responsibilities will include, but not be limited to:

  • Managing the CEO's calendar, appointments, correspondence and key communications while ensuring priorities are effectively coordinated.
  • Coordinating travel arrangements, accommodation and itineraries for the CEO and Executive Leadership Team.
  • Monitoring executive priorities, coordinating special projects and ensuring actions and deliverables are completed on time.
  • Supporting Board and Sub-Committee governance activities, including meeting coordination, agenda preparation, minute taking and action tracking.
  • Managing and enhancing executive office systems, digital tools and databases to improve workflow efficiency and decision-making.
  • Acting as a key liaison between the CEO and internal and external stakeholders.
  • Coordinating logistics for organisational events, conferences and leadership activities.
  • Maintaining the highest levels of confidentiality, professionalism and discretion in all aspects of the role.

This position is offered on a permanent part-time basis (0.6 FTE, 3 days per week) and is based at our offices at Richmond Football Club.

Skills And Experiences

About you

To succeed in this role, you'll bring:

  • Proven experience as an Executive Assistant or in a similar executive-level support position.
  • Exceptional organisational skills with the ability to manage multiple priorities and competing deadlines.
  • Advanced proficiency in Microsoft 365, SharePoint and digital collaboration tools.
  • Excellent written and verbal communication skills.
  • Demonstrated experience supporting senior executives and engaging with senior stakeholders.
  • Strong problem-solving capability and the ability to work autonomously and proactively.
  • Experience supporting Boards or corporate governance processes will be highly regarded. 
  • A high level of discretion and a demonstrated ability to manage confidential information.
