Summary: The Secretary plans, organizes and provides clerical support services to meet the needs of the Psychology Department.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Communication and Collaboration:
- Answers incoming calls professionally and courteously, directs calls to appropriate staff members, takes complete messages with caller’s name, date, time and phone number.
- Delivers great customer service based on department standards and assists patients, families and visitors in resolving problems.
- Greets visitors and processes requests according to procedures.
- Coordinates departmental mail and information requests (includes mail review to insure correct distribution i.e. requests for Medical records are sent to HIM).
- Responsible for reminder calls or appointment notifications for all outpatient appointments as required, including all neuropsychological evaluations.
- Maintains the medical interpreter computer system in collaboration with IT and trains clinicians on computer system navigation.
- Coordinates with W/C Liaisons and benefits to ensure proper notes and authorization is obtained for their upcoming appointment.
Professionalism:
- Works with other Gaylord departments, including Centralize Registration, Patient Financial Services, Benefits, Information Technology, Health Information Management, and Outpatient/Inpatient Services.
- Complies with all operating procedures related to accrediting bodies including but not limited to the DPH, TJC, and CARF.
- Participates in process improvement plans and special projects that improve quality, compliance, and maximizes efficiencies of the Psychology Dept.
- Performs all other related duties as assigned.
Patient Centric Clerical Tasks :
- Greets patients, obtains appropriate signatures on all consent forms. “Attends” patients in Expanse and notifies provider of patient’s arrival.
- Registers new patients by obtaining required provider and patient information, and updates patient demographics on all visits. Verifies and enters all information into Expanse. Completes MSP Questionnaire accurately and completely.
- Schedules patients for provider appointments including Spanish speaking by utilizing the interpreter system, cancels and reschedules appointments, optimizing use of provider time through efficient scheduling.
- Closes out file when report is completed by clinician and faxes to referring physician in a timely manner.
- Tracts clinical records for additional medical information that is requested by the Neuropsychologists.
- Greets visitors and processes requests according to procedures.
- Manages all incoming referrals utilizing the pending list for both Outpatient Counseling and Neuropsychology Testing.
Financial Stewardship:
- Collects copays on accounts and enters credit card payments.
- Creates and maintains database, spreadsheet files, reports including Meyers records management system.
- Prepare and updates routine letters and reports.
- Performs general clerical tasks including maintaining filing system, photocopying, ordering supplies, typing, and data entry.
- Maintains and updates the Procedures Book for Psychology to maximize consistency within the department.
- Collaborates with Psychology Technician to ensure the proper insurances are in place for her to perform the testing.

Qualifications:
- High School diploma or general education degree (GED) and two years of special secretarial schooling or equivalent experience or equivalent combination of education and experience.
- Ability to speak effectively before groups of patients or employees of organization.
- Experience with Windows and the Microsoft Office components.
- Must possess organizational ability, flexibility and the ability to work independently as well as in a team environment.
- Experience in a medical environment preferred.
