Position Summary

The Administrative Assistant II provides administrative and operational support to the Cameron School of Business (CSB) at the University of St. Thomas. The position supports the daily needs of the school and assists faculty, staff, students, visitors, and other members of the university community.

Essential Duties and Responsibilities

• Answer, screen, and route incoming calls and provide appropriate assistance to callers.
• Maintain accurate files, records, databases, calendars, and spreadsheets.
• Provide information to students, faculty, staff, and visitors regarding CSB procedures and services.
• Compose, format, proofread, and distribute correspondence, memoranda, reports, and mass mailings.
• Create and maintain spreadsheets and databases to organize and present information.
• Update CSB web pages and online information as needed.
• Schedule meetings, reserve rooms, maintain the Dean's calendar, and coordinate appointments.
• Provide administrative support to faculty and assist with meetings, events, and special projects.
• Perform other clerical and administrative duties as assigned.

Fiscal Responsibilities

• Maintain petty cash, as assigned.
• Prepare check requests and other routine financial documentation.
• Follow university procedures for financial and administrative transactions.

Supervisory Responsibilities

• May supervise and provide guidance to student workers.

Knowledge and Skills Required

• Minimum of two years of experience as an administrative assistant or in a related role.
• Proficiency with Microsoft Word, Excel, email, calendars, and standard office technology.
• Strong written and verbal communication skills, including excellent spelling and grammar.
• Excellent organizational skills and attention to detail.
• Professional and courteous telephone and customer service skills.
• Ability to interact effectively with faculty, staff, students, visitors, and other members of the university community.
• Ability to manage multiple priorities, meet deadlines, maintain confidentiality, and exercise sound judgment.

Work Environment and Schedule

This is a student-facing administrative position within the Cameron School of Business. Availability during the university's established working hours is required to provide consistent support to students, faculty, staff, and campus partners. Vacation scheduling should be coordinated to minimize conflicts with important meetings, events, office activities, and critical operational deadlines.
