Job Title: Administrative Assistant II
Location: South San Francisco, CA 94080 (Initially 4 days onsite/week; transitions to 3 days onsite/week once fully trained)
Pay rate: $30.00 - $33.57/ hr
Work schedule: Monday – Friday, 8:00 AM – 5:00 PM PST (40.0 hours/week; 6-month contract assignment with extension potential based on business needs)
Assignment Dates: 10/26/2026 – 04/25/2027
Overview
The Administrative Assistant II provides high-level administrative support to Director-level and executive leadership within Translational Safety (Toxicology, Pathology, gRED Nonclinical Operations) and the broader Development Sciences division. This role handles complex calendar management, coordinates domestic/international travel, organizes onsite/offsite meetings, processes invoices and expense reports, and maintains Development tracking databases.
Job Specifications
- Manage multiple, complex, and rapidly changing executive calendars across time zones
- Plan, schedule, and execute onsite/offsite team meetings, conferences, and team-building events
- Coordinate travel arrangements and conference logistics for leadership and departmental staff
- Process invoices, vendor payments, and expense reports using corporate financial systems
- Draft, edit, and facilitate departmental communications and status reports on behalf of executive staff
- Maintain standard Development tracking tools, spreadsheets, and database management systems
- Handle confidential, proprietary, and time-sensitive information with complete discretion
- Serve as a collaborative liaison across administrative teams in Development Sciences and provide back-up support as needed
- High School Diploma required (Bachelor's degree preferred)
- 5 to 10 years of professional administrative experience required (previous Genentech or biotech/pharmaceutical industry experience strongly preferred)
- Advanced proficiency in Google Workspace and Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) required
- Prior experience with corporate expense reporting and invoice processing applications required
- Strong multi-tasking, organizational, and interpersonal skills with the ability to work independently with minimal supervision
