Position Overview
Ipswich Public Schools is seeking a welcoming, reliable, efficient, and highly organized Head Secretary to support the front office at Paul F. Doyon Memorial School. This role serves as a key point of contact for students, families, staff, and visitors and ensures the smooth daily operation of the elementary school office.
Essential Duties and Responsibilities
- Greet and assist students, parents, staff, and visitors in a professional and welcoming manner.
- Answer phones, respond to inquiries, and direct calls/messages appropriately.
- Manage student attendance, including recording absences, tardies, and early dismissals; follow up on unexcused absences as needed.
- Maintain accurate student records and files (electronic and paper) in accordance with district policies and state regulations.
- Process student registrations, withdrawals, and transfers.
- Prepare and distribute correspondence, memos, and other school communications as needed..
- Support the Principal and Assistant Principal with scheduling and calendar management.
- Handle incoming/outgoing mail, photocopying, filing, and general clerical duties.
- Maintain confidentiality of all student, staff, and school information.
- Support school events, parent communications, and other duties as assigned by the Principal.
Qualifications
- High school diploma or equivalent required.
- Prior experience as a school secretary, administrative assistant, or in a similar office support role strongly preferred (school setting experience is highly desirable).
- Proficiency with Google Workspace and general computer skills; experience with student information systems (e.g., Aspen or similar) a plus.
- Excellent interpersonal, communication, and customer service skills.
- Strong organizational skills, attention to detail, and ability to multitask in a fast paced environment.
- Ability to maintain confidentiality and exercise sound judgment.
- Successful completion of required CORI and fingerprint based background checks.
