Legal Secretary / Paralegal
Location: New York, NY
Pay Rate: $24.00 – $32.00 per hour
Contract Duration: 2 Years
Schedule: Monday – Friday, 8:00 AM – 5:00 PM
Hours: 37.5 hours per week; flexible scheduling within the 8:00 AM – 5:00 PM timeframe
Work Arrangement: On-site, with the possibility of up to 50% telecommuting
Position Summary
The Office of General Counsel (OGC) is seeking a highly organized and detail-oriented Legal Secretary / Paralegal to provide legal and administrative support to the General Counsel, First Deputy General Counsel, and Director of Trade Practices.
The incumbent will work closely with OGC attorneys, investigators, respondents, court reporters, and administrative staff in support of legal proceedings and case management. The position will perform a variety of paralegal and legal administrative activities, including preparing legal documents, organizing hearing materials, maintaining case files and tracking systems, conducting legal research, preparing subpoenas and correspondence, and assisting attorneys with hearings and other confidential legal matters.
Key Responsibilities
Duties will include, but are not limited to:
Prepare correspondence, legal documents, and relevant case materials for hearings.
Assist attorneys and investigators in preparing cases for hearings by completing a variety of legal and administrative activities.
Draft and prepare legal documents for review by investigators and attorneys.
Compile, organize, and maintain case files, exhibits, records, and other hearing materials.
Prepare subpoenas and coordinate arrangements for proper service.
Arrange for the filing of legal memoranda, pleadings, and other legal papers.
Assist attorneys by gathering research, resources, exhibits, and supporting materials needed for hearings.
Conduct research on complex legal matters; analyze relevant materials and communicate findings through written and verbal summaries.
Prepare and maintain case files, calendars, databases, and case-tracking systems.
Record and monitor the status of dockets, deadlines, hearings, and final decisions.
Schedule hearings and coordinate calendars for attorneys and investigators.
Communicate and coordinate with attorneys, investigators, respondents, court reporters, and other administrative personnel as needed.
Assist the General Counsel and OGC staff with confidential legal matters and sensitive information.
Maintain accurate and organized records while ensuring that case-related deadlines are monitored and addressed.
Provide general administrative and paralegal support to the Office of General Counsel.
Perform other related duties as assigned by the General Counsel, First Deputy General Counsel, and Director of Trade Practices.
Qualifications & Skills
The ideal candidate should possess:
Experience providing administrative, legal, or paralegal support in a law office, government agency, corporate legal department, or similar environment.
Knowledge of legal terminology, procedures, and document preparation.
Strong organizational skills and exceptional attention to detail.
Ability to manage multiple cases, deadlines, calendars, and priorities simultaneously.
Strong written and verbal communication skills.
Ability to conduct legal research and effectively summarize findings.
Proficiency with Microsoft Office applications, databases, and case-tracking systems.
Ability to handle confidential and sensitive legal information with discretion.
Strong proofreading and document-review skills.
Ability to work independently while also collaborating effectively with attorneys, investigators, and administrative staff.
Professional demeanor and strong interpersonal skills.
Work Environment
This is a 37.5-hour-per-week position with a Monday through Friday schedule. Work hours are flexible between 8:00 AM and 5:00 PM and may be discussed during the interview process.
The position is primarily on-site in New York, NY, with the possibility of up to 50% telecommuting, subject to operational needs and applicable policies.
